Full Job Description

Job Summary
Lady R Bistro is looking for a highly organized and proactive Executive Assistant to support daily operations, administration, catering sales, event coordination, financial tasks, marketing, and business development. This role requires excellent follow-through, strong communication skills, QuickBooks experience, and the ability to manage multiple priorities in a fast-paced culinary environment.

The ideal candidate is professional, resourceful, confident, and comfortable representing the Chef and brand with clients, media, community partners, and business leaders. This is a great opportunity for someone who loves food, hospitality, wellness, and helping an established culinary brand expand its reach.

Duties

Operations & Administration

Manage and coordinate calendars
Coordinate meetings and events
Handle administrative tasks
Create SOPs and systems
Maintain client databases
Organize contracts and documents

QuickBooks & Financial Support

Create and send invoices
Track accounts receivable
Follow up on outstanding invoices
Enter expenses
Reconcile transactions
Prepare reports for accountant/bookkeeper

Catering Sales & Event Coordination

Respond to catering inquiries
Create proposals and quotes
Prepare contracts
Conduct venue walkthroughs
Follow up on leads
Increase catering sales
Maintain event calendar

Marketing & Public Relations

Pitch cooking segments to television stations
Schedule cooking demos
Secure food festival appearances
Coordinate speaking engagements
Build relationships with media outlets
Submit award applications
Manage community partnerships

Brand Representation

Attend networking events
Represent Lady R Bistro/ Chef Rosie O’Connor professionally
Speak confidently with clients and organizations
Build relationships with chambers, nonprofits, and corporations
Follow up on partnership opportunities

Business Development

Generate new catering leads
Develop corporate wellness opportunities
Build relationships with manufacturing companies
Create sponsorship opportunities
Identify revenue-generating partnerships
Help secure meal prep accounts

Preferred Qualifications

3+ years Executive Assistant experience
Strong QuickBooks experience
Catering or hospitality experience
Event planning background
Sales and business development experience
Exceptional written communication skills
Experience writing proposals and contracts
Social media and marketing knowledge
Public speaking confidence
Familiarity with Food Network, culinary events, or chef brands
Ability to travel locally for events and networking
