JOB DESCRIPTION:

Job Summary: Under general supervision, the Surgery Scheduler is responsible for coordinating all aspects of the surgical scheduling process to ensure a seamless experience for patients, providers, and surgical facilities. This role serves as a key liaison between patients, physicians, insurance companies, anesthesia providers, and surgical facilities. Candidates with previous surgery scheduling experience are strongly preferred, as success in this role requires a thorough understanding of surgical workflows, insurance authorization processes, and pre-operative requirements.

Job Duties:

Coordinate and schedule surgical procedures for patients, ensuring all required information and documentation are complete and accurate.
Process surgery order forms received from clinical staff and prepare patient-specific pre-operative instructions and information packets.
Review surgery details with patients in person or by phone, including surgery dates, locations, pre-operative testing requirements, and preparation instructions.
Schedule surgical facilities, anesthesia services, and any required surgical assistants.
Verify insurance eligibility, benefits, and authorization requirements, ensuring all approvals are obtained prior to surgery.
Coordinate with billing departments regarding patient financial responsibilities, deductibles, and payment arrangements as needed.
Accurately enter and maintain surgery scheduling, authorization, and patient information within the electronic medical record and practice management systems.
Collaborate closely with physicians, medical assistants, surgical facilities, and other team members to ensure efficient coordination of care.
Contact patients prior to surgery to confirm arrival times, locations, pre-operative instructions, and NPO requirements.
Maintain strict confidentiality of patient information and comply with all HIPAA and practice policies.
Perform additional duties and responsibilities as assigned to support practice operations and patient care.

Skills and Qualifications:

High school diploma or GED required.
Minimum of one (1) year of direct surgery scheduling experience required; experience in general surgery, plastic surgery, orthopedic surgery, or other surgical specialties strongly preferred.
Demonstrated knowledge of surgical scheduling workflows, pre-operative requirements, insurance verification, and authorization processes.
Strong understanding of medical terminology, insurance plans, and medical office software.
Excellent organizational skills with exceptional attention to detail and accuracy.
Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
Outstanding customer service and communication skills with a patient-centered approach.
Ability to work collaboratively with physicians, clinical staff, and external partners.
Professional demeanor, positive attitude, and commitment to maintaining patient confidentiality.
