Full Job Description

Job Summary

We are seeking a dynamic and highly organized Remote Receptionist / Administrative Assistant to join our team. In this vital role, you will serve as the first point of contact for clients, manage light administrative tasks. Your energetic approach and exceptional organizational skills will help foster positive client interactions, streamline office processes, and support our team remotely. This position offers an exciting opportunity for someone who thrives in a fast-paced environment and enjoys multitasking with efficiency and professionalism.

Schedule:

Mon-Fri: 10:00am - 6:30pm

Responsibilities

Answer and direct incoming multi-line phone calls with professionalism and courtesy, practicing excellent phone etiquette
Greet clients virtually or via phone, providing exceptional customer service and support
Perform data entry, filing, and document proofreading to maintain accurate records and ensure document integrity
Handle client communication via email and phone, ensuring timely responses and professional correspondence
Light charting duties

Requirements

Proven experience in office management or administrative support roles with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools
Strong organizational skills with the ability to prioritize tasks effectively in a remote setting. Experience with EHR and charting. HIPAA knowledge.
Exceptional customer service skills with experience in front desk operations and phone reception
Bilingual abilities are highly desirable to assist diverse client needs effectively
Familiarity with multi-line phone systems, calendar management, and basic bookkeeping is preferred
Demonstrated ability to work independently with excellent time management skills
Prior experience as a personal assistant or in office administration is advantageous
