Digital Photo & Product Production Manager

Position Summary
We are seeking a highly organized, detail-oriented Digital Photo File and Production Assistant to join our school portrait photography team. In this role, you will be responsible for the end-to-end management of large volumes of digital image files — from initial upload and backup through culling, rating, color coding, and final editing — ensuring every deliverable meets our exact specifications. You will work across batches ranging from 600 to 6,000 images per job, maintaining flawless accuracy, consistent quality, and strict adherence to delivery timelines. Additionally, you will be responsible for designing and managing production of various photo products (ID badges, yearbook files, banners, etc).Position is highly seasonal; September and October have a heavy workload, as do March and April. Winter and summer months are light and flexible.
Key Responsibilities
File Management & Data Integrity
- Upload all raw image files promptly upon receipt, verifying complete and accurate file transfers for every shoot.
- Maintain a structured, consistent file naming and folder organization system across all jobs.
- Perform thorough backups to all designated storage locations (local, external, and/or cloud) immediately upon upload, confirming backup integrity before proceeding.
- Monitor storage capacity and flag any issues proactively to prevent data loss.
- Safeguard the security and confidentiality of all client image files at all times.
Image Culling
- Review and cull large image sets (600–6,000+ images per batch) with speed and precision, eliminating duplicates, technically flawed images, and unusable shots.
- Apply consistent, objective culling criteria aligned with company standards.
- Document culling decisions as required for quality review purposes.
- Deliver feedback to photographers based on image review
Rating & Color Coding
- Rate and color code all images according to established company specifications.
- Apply ratings and color labels consistently and accurately across all files within each batch.
- Adapt quickly to specification changes or updates for individual clients or school accounts.
Photo Editing & Retouching
- Perform color correction, exposure adjustments, and cropping using Evoto and other designated photo editing software.
- Execute edits to precise specifications, maintaining uniformity in skin tones, background consistency, and crop framing across each batch.
- Work efficiently to meet editing turnaround requirements without sacrificing quality.
- Stay current on software updates and editing techniques to optimize workflow speed and output quality.
Deliverable Management
- Carefully review job specifications for each school or client order before beginning any workflow stage.
- Verify that all deliverables — file formats, sizes, naming conventions, quantities, and quality standards — meet the exact requirements for each job before handoff.
- Communicate proactively with the production team regarding any discrepancies, missing files, or specification questions.
- Complete all assigned batches within established deadlines, managing multiple concurrent jobs as needed.
Required Qualifications
- Demonstrated experience in high-volume digital photo file management, photo editing, or a closely related role.
- Proficiency with photo editing software, particularly Evoto; experience with Adobe Lightroom, Capture One, or similar DAM tools is a strong plus.
- Proven ability to work with large image sets (hundreds to thousands of files) efficiently and accurately.
- Exceptional attention to detail — you catch errors others miss and take quality personally.
- Strong organizational skills with the ability to maintain consistent, structured file management systems.
- Reliable, self-motivated, and able to work independently with minimal supervision.
- Ability to work quickly under deadline pressure while maintaining high accuracy.
- Comfortable working in a fast-paced production environment with shifting priorities.
Preferred Qualifications
- Prior experience in school photography, portrait photography, or production photography workflows.
- Familiarity with cloud storage and backup systems (e.g., Google Drive, Dropbox, Backblaze, or similar).
- Basic understanding of color theory and photo retouching best practices.
- Experience using Evoto AI for retouching and color correction at production scale.

Work Environment & Expectations
- This role involves extended periods of computer-based work requiring sustained focus and visual attention.
- The volume and complexity of image batches will vary; you must be able to scale your workflow to handle both smaller (600-image) and large (6,000-image) jobs within required timeframes.
- You will be entrusted with proprietary client image files, including photographs of minors. The highest standards of file security, confidentiality, and professional responsibility are required at all times.
- Remote, hybrid, or in-studio arrangements may be available depending on business needs.
