VEGAs Event Group is a San Antonio-based audiovisual entertainment company specializing in private events, corporate events, venue activations, DJ entertainment, lighting, video displays, photo booths, and interactive event experiences.
As our events continue to grow in size and technical complexity, we are looking to build a relationship with an experienced Freelance AV Director / Event Production Consultant who can support our team on larger events and help strengthen our event planning, technical preparation, and onsite execution.
This is not a full-time position. This is a contract/event-based opportunity for someone who has strong live event experience and can step in as a senior technical leader when needed.
Position Overview
We are seeking an experienced AV professional who can assist with larger-scale events by providing technical planning, walkthrough support, team leadership, onsite direction, and production-level oversight.
This person may also consult with our internal team before events to improve our backend operations, including how our coordinators, lead technicians, warehouse team, and event techs prepare for complex jobs.
The ideal candidate is someone who can help bridge the gap between event coordination and technical execution. We are looking for someone who can look at an event from the big picture, identify potential problems before they happen, create a clear game plan, guide younger technicians, and help ensure the event is executed professionally from start to finish.
Responsibilities
Responsibilities may vary depending on the event, but may include:
Event Planning & Technical Preparation
- Attend client or venue walkthroughs for larger or more technical events.
- Identify technical needs, challenges, risks, and potential issues before event day.
- Review event layouts, timelines, equipment needs, load-in requirements, power access, cable runs, internet needs, and staffing requirements.
- Help create a clear technical game plan for each assigned event.
- Assist with building equipment lists and confirming the correct gear is prepared.
- Help determine realistic setup times, internal ready times, and testing windows.
- Provide guidance on backup plans for audio, video, power, internet, and display-related issues.
Backend Operations Consulting
- Work with our office coordinator, lead techs, and warehouse/event team to improve pre-event communication and preparation.
- Help review how event information is passed from coordinator to tech team.
- Assist with improving equipment checkout procedures, vehicle loading, prep checklists, and event-day readiness.
- Recommend better systems for technical walkthroughs, equipment verification, event briefs, and onsite execution.
- Help create or improve processes that reduce missed details, unclear communication, and last-minute issues.
Onsite Event Leadership
- Serve as AV Director, Production Manager, or senior technical lead for larger events.
- Lead or support the onsite tech team during load-in, setup, testing, event operation, and breakdown.
- Give clear direction to technicians and support staff.
- Communicate professionally with clients, venues, planners, and internal team members.
- Troubleshoot technical issues quickly and calmly.
- Ensure all AV setups are safe, clean, professional, and ready on time.
- Perform final quality checks before the event begins.
Team Development
- Provide guidance and mentorship to younger or developing technicians.
- Help train team members on planning, prep, setup standards, communication, urgency, and problem-solving.
- Support the growth of our internal tech team without replacing them.
- Help create a stronger leadership structure for complex events.
Ideal Candidate
The ideal candidate should have:
- Strong experience in live event AV, production management, or technical event direction.
- Experience with corporate events, private events, venues, conferences, activations, or large-scale event setups.
- Ability to read event layouts and identify technical needs.
- Strong understanding of audio, video, displays, projection, microphones, mixers, speakers, cabling, signal flow, power, and basic event networking/internet needs.
- Ability to lead a team under pressure.
- Strong communication skills with clients, venues, planners, coordinators, and technicians.
- Ability to troubleshoot quickly and make decisions onsite.
- Experience creating or improving event prep processes, checklists, or production plans.
- Professional appearance and calm presence during high-pressure situations.
- Willingness to mentor and support a younger tech team.
Preferred Experience
Preferred but not required:
- Experience as an AV Director, Production Manager, Technical Director, Lead AV Technician, or Event Operations Manager.
- Experience with livestream/video routing, LED TVs, projectors, wireless microphones, speaker systems, truss displays, lighting, and event power planning.
- Experience working with DJs, entertainers, planners, venues, corporate clients, or hospitality teams.
- Experience leading freelance crews or mixed-experience teams.
- Experience building technical plans from venue walkthroughs.

Important Notes
This is not a full-time position at this time.
We are looking to build a trusted working relationship with someone who can be brought in for:
- Larger or more complex events

- Onsite AV direction and production support
Work will be scheduled based on event needs and availability.
Compensation
Pay will be based on experience, event scope, and level of involvement.
Compensation may include:
- Hourly consulting rate
- Event-day rate
- Walkthrough/planning rate
- Half-day or full-day production rate
- Project-based consulting fee
