Job Summary

We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our new dental office . In this vital role, you will manage front office operations, provide exceptional customer support, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring a professional and friendly first impression
Answer multi-line phone systems promptly and direct calls efficiently using proper phone etiquette
Manage appointment scheduling and calendar management with precision and attention to detail
Handle data entry tasks accurately using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
Maintain organized filing systems, including digital documents and physical records such as client files and invoices
Support office management tasks such as ordering supplies, managing office equipment, and assisting with bookkeeping using QuickBooks or similar tools
Provide excellent customer service by addressing inquiries, supporting client communication, and offering support with clerical tasks like proofreading and word processing

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry software
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are highly valued to assist diverse client needs effectively
Previous office experience or administrative experience is preferred, especially in medical or dental reception roles
Knowledge of front desk procedures including phone communication, filing, and calendar management
Technical proficiency in office management tools like QuickBooks and familiarity with bookkeeping practices
Exceptional phone etiquette combined with strong interpersonal skills for client communication and customer support
Ability to type quickly with high accuracy while maintaining attention to detail for proofreading tasks
Experience with medical or dental receptionist duties is a plus but not required; training will be provided for specific responsibilities
