Full Job Description

Scheduling Coordinator

We are seeking a detail-oriented and compassionate Scheduling Coordinator to join our team. This full-time role is responsible for coordinating schedules for our CNAs and Nurses, ensuring clients receive exceptional care while supporting our field staff with efficient scheduling and communication

Schedule

Monday-Friday 8:30 AM - 4:30 PM. Position includes participation in a rotating remote on-call schedule.

Scheduling Coordinator Responsibilities

Work collaboratively with the Branch Manager and fellow Scheduling Coordinator to support daily operations and ensure seamless client care.
Maintaining Client/Employee Schedules
Filling Open Shifts
Managing Client Relationships and Retention
Schedule CNAs and Nurses for private-duty home care clients, ensuring all visits and shifts are staffed appropriately.
Match CNAs and nurses to client needs based on skills, experience, certifications, availability, location, and client preferences.
Maintain accurate schedules and client information in ABS, updating schedules promptly as changes occur.
Communicate schedule assignments, changes, and updates with field staff, clients, and office team members in a timely and professional manner.
Coordinate coverage for call-offs, open shifts, and last-minute staffing needs while minimizing service interruptions.
Monitor staff availability, time-off requests, and schedule conflicts to maximize staffing efficiency.
Build positive relationships with field staff through consistent communication, problem-solving, and support.
Collaborate with the clinical and office teams to ensure client care plans, service needs, and scheduling requirements are accurately reflected.
Respond to incoming scheduling calls, messages, and emails from staff and clients, providing excellent customer service.
Participate in rotating remote on-call responsibilities as assigned, providing after-hours scheduling support for urgent staffing needs.

Scheduling Coordinator Qualifications

Previous scheduling or staffing experience, preferably in healthcare or an administrative setting preferred.
Strong organizational and multitasking skills with the ability to prioritize in a fast-paced environment.
Excellent communication and customer service skills.
Ability to think critically and make staffing decisions under time-sensitive situations.
Proficiency with Microsoft Office and the ability to learn scheduling software (ABS experience is a plus).
Ability to work independently while collaborating effectively with a team.
High attention to detail and commitment to providing exceptional client and employee support.
