Full Job Description

Job Summary
The Pantry Office Assistant provides essential administrative, clerical, and organizational support to the Pantry Operations Manager, ensuring smooth, accurate, and efficient office operations. This role supports reporting, recordkeeping, communications, scheduling, and general office functions that allow the Pantry to operate in a manner consistent with its mission and compliance requirements. This position reports to and works closely with the Operations Manager to ensure that priorities are clear, deadlines are met, and administrative systems are well-maintained.

Duties

1. General:
a. Complete tasks in a manner that supports and furthers the Pantry’s mission and contributes to a productive, caring, welcoming, and respectful environment.
b. Adhere to the provisions of the Employment Policies Manual.
c. Maintain confidentiality of shopper, donor, volunteer, and organizational records.
d. Assist with answering phone calls, responding to emails, and directing inquiries appropriately.
e. Manage office supplies and administrative materials; place orders as needed.
f. Receive and log donations and prepare and take deposits to the bank.
g. Provide limited on-site coordination support during delivery or service days as required (administrative/logistical only).
2. Reporting & Data Management:
a. Maintain accurate electronic and paper files, including program records, donations, reports, correspondence, Board Recordkeeping and compliance documentation.
b. Input transactions into the Pantry’s accounting and donor management software.
c. Assist with the tracking and organization of inventory, shopper, donor, and volunteer information.
d. Compile and submit monthly USDA reports, quarterly New Hampshire Food Bank reports and other reports as applicable on time.
3. Communications:
a. Maintain donor communication templates and send necessary correspondence.
b. Communicate regularly with the Operations Manager regarding task status, deadlines, and changing priorities.
c. Assist with drafting written communications, emails, and creating notices/ in-house posters
d. Support coordination with volunteers, partner organizations, and vendors as directed.
e. Monitor the Pantry’s social media and draft content to promote positive engagement.

QUALIFICATIONS & SKILLS:

1. Education: Minimum of a high school diploma or equivalent.
2. Experience: Two years of nonprofit work experience preferred. Experience with bookkeeping and/or social media management is a plus.
3. Proficiency with computer programs, including but not limited to email, MS Word, MS Excel, and the ability to learn specialized programs (donor management, bookkeeping, shopper management, etc.).
4. Adept at working independently while collaborating with leadership.
5. Strong organizational skills with attention to detail and accuracy.
6. Effective written and verbal communication skills.
7. Can manage multiple tasks and meet deadlines.
8. Ability to pass background check.
