Job Description for FSS, Inc. Regional Administrative Assistant
Region - Northwest OH/Southern Michigan
Location - Sylvania, OH
Type - In person at the Sylvania OH office. No remote or work from home hours
Status - Full-time: Exempt
Reports to: Regional Manager, Administrative Director

A Regional Administrative Assistant with FSS, Inc. performs administrative support daily in a variety of areas. Duties may include working within programs and software to ensure proper ordering, documentation, invoicing, daily customer communication, billing, and compliance in a variety of areas. Extensive software skills including the Microsoft Suite is required. Experience with inventory management and forklift/whse. experience is a plus.

Essential Functions and Responsibilities

60% Administrative Duties

o Maintain customer records in various software applications.

o Review work orders for the region/office to ensure accuracy.

o Release invoices and ensure that invoices are sent to the customers.

o Work with Accounts Receivable when requested to help with the collection process.

o Maintain a relationship with the regional customers and help with issues such as billing issues, software use, etc.

o Assist with trending, reporting and customer service-related activities.

o Maintain all documents uploading related to the customer accounts.

o Support day-to-day Pest Control operations by updating service maps, and assisting with calendars and scheduling.

o Gather information and create fumigation documents, check for accuracy and upload them to required portals.

o Manage your time efficiently to allow maximum productivity when working independently and with their regional team.

o Other duties as assigned by management, including working with the company to develop the role.

40% Regional Duties:

o Constant support of regional leadership, commercial pest control service technicians, and fumigation technicians.

o Manage inventory by organizing the storage area, accepting shipments, stocking shelves, running a forklift, recording incoming and outgoing inventory in the Finale Inventory system.

o Conduct a physical inventory count at least once per week and record it in the Finale inventory system.

o Maintain Min/Max settings within the Finale Inventory System.

o Attend organization meetings and take meeting notes when requested.

o Manage facility for office supplies, utilities, cleaning, maintenance, and other areas assigned by management.

o Provide a scheduling report to technicians to coordinate scheduling changes within our scheduling software.

o Maintain regional/office documentation, provide trending reports, provide historical billing reports.

o Assist with Pesticide Licensing requirements if applicable. Could include scheduling training classes or tests, renew licenses, and track continuing education credits..

o Greet visitors, check in containers, maintain check in documentation if applicable

· Additional Duties

o Handling license plate renewals for regional vehicles if applicable.

o Check in containers and/or create certificates of record for fumigation containers, save and submit required documents for internal records, customer records and external agencies if requested.

o Create scope of service, review service orders and make corrections if necessary, assist technicians with scheduling service.

o Keep CRM system (Salesforce) updated for calendars and contact opportunities.
o Other duties as assigned.

Qualifications & Requirements

High attention to detail and ability to find and correct one’s own errors
Excellent communication, problem-solving, and decision-making skills
Microsoft office skills (Teams, Word, Excel, PowerPoint) Adobe and internet research experience required
Finale, PestPac, bill.com Bill Spend & Expense (Divvy), QuickBooks experience a plus
