Full Job Description

The Sofia Quintero Art and Cultural Center (SQACC) is a nonprofit based in the Old South End of Toledo which works to serve and share the Latino culture and larger community through art, cuisine, mental health and agriculture. The Administrative Assistant works collaboratively with staff to help fulfill the mission SQACC and offer a strong internal foundation. This position will work closely with our Bookkeeper in overseeing and tracking grants and other components.

Financial Support
The SQACC Bookkeeper will be responsible for entering and maintaining QuickBooks. Duties include:

Manage accounts receivable and accounts payable.
Oversee internal grant system, including use of funds, payroll allocations, and report preparation.
Collaborate with the Bookkeeper on reports and additional financial tasks as well as accessing and using Quickbooks for basic tasks.
Administer HR responsibilities such as timesheet and Paid Time Off management.
Assist staff in reviewing budgets and grant-related reports.
Perform day-to-day tasks, calendar management, phones, partner communicating, etc.

General Administrative Support

Provide administrative support to the Executive Director and Board of Trustees, including meeting prep and facilitating internal communications.
Maintain accurate records through an organized database and filing system.
Track and order office inventory; coordinate with external vendors for services and troubleshooting.
Ensure the office remains clean, organized and presentable, reflecting SQACC’s professional image.
Support staff with monthly program requirements, such as metrics and expense reports.
Assist the Executive Director with daily operations, including staff meetings and client communications.

Organizational Support and Engagement

Support the Hub Director and other staff by attending networking and community events; welcome and assist visitors as needed.
Assist in planning and executing fundraising events, rentals, and community activities, including registration and event setup.
Perform errands as required for organizational needs.
Contribute to program success by conducting research and assist with participant communications.
Research and identify potential funding opportunities; collaborate with the Executive Director on grant applications.
Provide assistance to the Executive Director on special projects.
Collaborate with the Marketing Consultant to maintain an active social media presence; independently manage and distribute email communications via Constant Contact.

Skills and Requirements

Minimum of 2 years of relevant experience, with preference of a nonprofit background.
Bilingual proficiency in English and Spanish strongly preferred.
Ability to work independently with minimal supervision.
Strong analytical skills, with proven experience in developing and utilizing reports (Excel or comparable software) for data tracking.
Highly motivated with excellent verbal and written communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google applications (Docs, Gmail, Calendar) required.
Experience with Constant Contact (or similar email platforms) preferred.
Ability to manage multiple priorities effectively.
Willingness to travel within the state as needed.
Ability to lift up to 25 pounds.
Strong problem-solving skills, including the ability to independently research and implement solutions.
Must be able to complete and pass a BCI/FBI Background check.
