Front Desk Receptionist / Office Clerk / Needed:

Image Detail Specialists Inc. (IDS) is a National Auto Detail, Office and Collision Shop Cleaning Make Ready Company, presently seeking highly qualified candidates for a Front Desk Receptionist / Office Clerk / Generalist position, at our Corporate Headquarters in Tomball, TX. MUST BE BILINGUAL.

We are looking for a bilingual English / Spanish speaking individual to perform a variety of front office administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities and not limited to daily clerical duties.

We are interviewing candidates that can work 40 hours a week, Monday thru Friday, and we are currently offering a competitive salary for candidates who have immediate availability to start.

Job Requirements and Responsibilities:

Must be Bilingual
Pleasantly and Professionally welcoming guests upon arriving to our offices.
Provide general support to visitors
Must be able to multitask
Must be able to work under deadline pressure
Professional business casual appearance; courteous and attentive attitude, team player
Provide exceptional customer service on and off the phone.
Answer phones and take detailed messages when applicable
Set up Microsoft Excel spreadsheets to maintain daily, weekly and monthly reports on customer phone calls
Maintenance and filing of active and terminated employee files
Assist in daily maintenance of accurate employee Time and Attendance records
Keeping front desk presentable while maintaining their busy workload
Addressing inbound calls and distributing escalations to proper management
Organize and schedule appointments
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies
Book travel arrangements
Submit and reconcile expense reports
Act as the point of contact for internal and external clients
Minimum of 3 years’ experience
Must pass background and drug screen
Must have a valid Texas Driver’s License

Skills

Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
