POSITION TITLE: Group Exercise Coordinator
REPORTS TO: Fitness Director/Program Director/Senior Program Director/Branch Director
FLSA CLASSIFICATION: Non-Exempt
GENERAL FUNCTION
Under the direction of the appropriate Director, the Group Exercise Coordinator assists with the leadership, management, scheduling, and supervision of the Group Exercise Department and staff to provide high-quality group exercise programming in a safe, welcoming, inclusive, and engaging environment. The Group Exercise Coordinator is responsible for supporting instructors, maintaining program quality, growing participation, and creating a positive experience for members and participants.
MINIMUM ENTRY REQUIREMENTS
Education/Experience Requirements:
- Minimum age of 21.
- Relevant experience in group exercise, wellness, fitness, or a related field.
- Current group exercise, personal training, or nationally recognized fitness certification.
- Previous leadership, supervisory, or group exercise coordination experience preferred.
PHYSICAL/MENTAL REQUIREMENTS
- Must be able to frequently perform physical activities including jumping, climbing, bending, stooping, kneeling, twisting, reaching with hands, sitting, standing for extended periods, walking, lifting and/or moving up to 50 pounds, grasping, performing repetitive motions, hearing, and maintaining visual acuity to perform detailed tasks.
- Must have the ability to motivate people and communicate effectively, both orally and in writing.
- Must possess problem-solving, organizational, and task-management skills and the ability to make independent and sound decisions in a rapidly changing environment.
- Must be detail-oriented and exhibit a high degree of accuracy and alertness.
- Must demonstrate initiative in the absence of supervision.
- Must be able to build meaningful relationships and work effectively with diverse groups of people in a friendly, professional, and consistent manner.
- Must work collaboratively as a team member as well as independently and lead by assigned goals, duties, and deadlines.

JOB REQUIREMENTS
- Commitment to the YMCA mission, vision, and values.
- Attend New Employee Orientation within 30 days of hire.
- Maintain current CPR/AED and First Aid certifications and complete all required YMCA training.
- Complete required YMCA group exercise training and maintain current certifications appropriate to assigned classes.
- Understand and abide by all policies and procedures established by the Topeka YMCA and YMCA association.
- Learn and follow all emergency procedures and risk-management guidelines.
- Work a schedule that reflects the needs of the branch, including evenings and weekends as needed.
JOB RESPONSIBILITIES
- Develop, coordinate, and support a high-quality group exercise program that meets the needs and interests of Topeka YMCA members and participants.
- Work closely with group exercise instructors to build a strong team culture and support consistent program standards throughout the branch.
- Assist with the recruitment, onboarding, training, development, and retention of group exercise instructors.
- Work closely with graduates of the YMCA instructor training program by providing one-on-one coaching and development during their transition into teaching.
- Incorporate new instructors into team-teaching opportunities with the Coordinator and/or experienced instructors who meet established teaching standards.
- Follow up with new instructors by attending team-teaching sessions and providing constructive feedback and coaching.
- Ensure required one-on-one training and team-teaching sessions are completed for new instructors.
- Work professionally and collaboratively with other YMCA Group Exercise Coordinators, respecting instructor home-base needs and communicating effectively when instructors are scheduled at different locations.
- Schedule land-based and water-based group exercise classes and instructors as assigned.
- Maintain accurate and timely group exercise schedules and communicate schedule changes to instructors, staff, and members.
- Serve as the primary resource for questions regarding group exercise schedules, classes, instructors, and program information.
- Respond to phone calls, emails, member questions, and staff inquiries in a timely and professional manner.
- Ensure all group exercise classes meet established YMCA health, safety, quality, and risk-management standards.
- Treat all instructors, members, participants, and staff with respect and professionalism.
- Communicate program concerns, staffing needs, member feedback, and other relevant information to the Fitness Director and/or appropriate supervisor.
- Attend required professional staff meetings, department meetings, and leadership meetings as assigned.
- Conduct monthly or bi-monthly group exercise staff meetings and maintain appropriate meeting documentation and minutes.
- Maintain current group exercise information, schedules, announcements, and promotional materials in designated areas.
- Understand and follow YMCA membership policies, procedures, and standards.
- Promote group exercise programs as a valuable component of the YMCA member experience and encourage member participation and retention.
- Prepare for and ensure that studios, fitness spaces, pool areas, and equipment are safe, clean, organized, and ready for classes.
- Conduct regular walk-throughs of group exercise spaces and report safety, maintenance, cleanliness, or equipment concerns to the appropriate supervisor.
- Follow and enforce all YMCA branch, association, and program policies and procedures.
- Follow all risk-management guidelines and report all accidents and incidents using the appropriate documentation within the required timeframe.
- Maintain effective, positive relationships with members, participants, instructors, volunteers, and staff.
- Assist with special fitness events, member engagement activities, wellness initiatives, and community events as assigned.
- Support membership recruitment and retention by creating an engaging and welcoming group exercise environment.
- Support YMCA fundraising initiatives, including the Strong Community Campaign and other branch fundraising efforts.
- Promote a culture of inclusion, belonging, teamwork, accountability, and exceptional member service.
- Child Abuse Prevention – Responsible for adhering to boundary policies, attending required training, reporting concerns, following mandated reporting policies, fulfilling job-specific responsibilities such as maintaining and securing unused areas, and ensuring proper sign-in/out procedures.
- Perform all other duties as assigned.

The Coordinator will contribute to the success of the Topeka YMCA by developing strong instructors, providing high-quality programming, increasing member participation and engagement, maintaining safe and clean exercise environments, and creating meaningful relationships with members and participants.
Job Type: Part-time
Pay: $13.00 - $18.00 per hour
