Full Job Description

We are a growing, patient-focused aesthetic practice dedicated to delivering an elevated client experience in a welcoming and professional environment. We are seeking a highly organized, personable, and proactive Lead Front Desk Associate to serve as the face of our practice and help support daily operations.

Position Overview

The Lead Front Desk Associate plays a key role in ensuring a seamless client experience from check-in to check-out. This individual will oversee front desk operations, support scheduling and communication, assist with administrative responsibilities, and help maintain a positive, high-energy atmosphere for both clients and staff.

The ideal candidate is dependable, detail-oriented, customer-service driven, and thrives in a fast-paced environment.

Key Responsibilities

Greet and assist clients with professionalism and warmth
Manage appointment scheduling, confirmations, and cancellations
Answer incoming calls, texts, and emails promptly and professionally
Maintain accurate client records and documentation
Process payments and handle point-of-sale transactions
Support daily operational flow and front desk organization
Assist with retail sales and product recommendations
Help resolve client concerns and ensure exceptional customer service
Coordinate with providers and team members to optimize scheduling
Assist with opening and closing responsibilities
Maintain cleanliness and presentation of reception and waiting areas
Support management with administrative and operational tasks as needed
Help drive client retention and overall front desk efficiency

Qualifications

Previous front desk, reception, hospitality, or customer service experience required
Must be proficient with Zenoti scheduling and management software
Experience in a medical spa, aesthetic, salon, dermatology, or wellness setting strongly preferred
Strong communication and interpersonal skills
Excellent organizational and multitasking abilities
Comfortable managing schedules, client flow, and administrative systems
Professional appearance and positive attitude
Ability to work independently and as part of a team
Strong attention to detail and problem-solving skills
Leadership experience is a plus
