Role Overview
The Office Manager is responsible for ensuring that OneHealth operates efficiently, professionally, and with exceptional organization each day. Serving as the operational hub of the office, this individual oversees workplace operations, administrative coordination, travel, expense management, vendor relationships, and day to day office functions that support employees, leadership, and visitors. The Office Manager takes ownership of creating an organized, welcoming, and highly productive work environment while ensuring operational details are executed accurately and on time.
As OneHealth continues its rapid growth, this role will play a critical part in supporting the opening of our second office and coordinating the transition to our new headquarters. The ideal candidate is highly organized, proactive, and thrives on taking ownership of projects from start to finish. They enjoy solving problems, building processes, coordinating multiple priorities simultaneously, and ensuring nothing falls through the cracks.
Key Responsibilities
As the Office Manager, you will oversee the administrative and operational functions that support the daily success of the organization. Your key responsibilities include:
Office Operations & Workplace Management
- Manage the day to day operations of the OneHealth office, ensuring a professional, organized, and welcoming environment
- Greet guests, vendors, candidates, and business partners while creating an exceptional first impression
- Manage relationships with office vendors, building management, maintenance providers, cleaning services, and workplace suppliers
- Order and maintain office supplies, kitchen inventory, equipment, furniture, and workplace resources
- Coordinate inbound and outbound mail, shipping, deliveries, marketing packages, and office logistics
- Prepare conference rooms and coordinate internal meetings, interviews, vendor visits, and company events
- Continuously identify opportunities to improve workplace organization, efficiency, and the overall employee experience
Expense Management & Administrative Coordination
- Administer the Company's expense management platform
- Monitor employee expense submissions and proactively follow up on outstanding receipts and required documentation
- Work directly with employees to ensure expense reports are submitted accurately and in accordance with Company policies
- Coordinate with the Finance team to ensure reimbursements, expense reports, and supporting documentation are submitted accurately and on time
- Coordinate employee travel arrangements including flights, hotels, rental vehicles, and meeting logistics
- Support leadership with administrative projects, meeting preparation, document organization, and special initiatives
Office Expansion & Project Management
- Assist leadership with planning and coordinating the opening of OneHealth's second office location
- Coordinate the transition into the Company's new headquarters, including vendors, furniture, equipment, technology, and workplace logistics
- Manage office improvement initiatives and workplace projects from planning through completion
- Coordinate timelines, vendors, and internal stakeholders to ensure projects remain organized and on schedule
- Help establish consistent office standards, procedures, and workplace processes across multiple office locations
- Serve as the primary operational resource for office related initiatives and administrative projects
Operational Support & Continuous Improvement
- Take ownership of operational projects from initiation through completion
- Build and improve administrative processes that support a growing organization
- Follow up consistently to ensure commitments, projects, and action items are completed accurately and on time
- Maintain organized documentation, records, and operational resources that support the business
- Identify opportunities to improve workflows, increase efficiency, and enhance the employee experience
- Provide additional administrative and operational support to leadership as business needs evolve
Required Qualifications
- 3+ years of experience in office management, operations, executive support, or administrative leadership
- Strong organizational and project coordination skills
- Experience managing vendors, workplace operations, or administrative processes
- Excellent written and verbal communication skills
- Strong proficiency with Microsoft Office and Google Workspace
- Experience learning and managing business software platforms
- High attention to detail with exceptional organizational skills
- Comfortable working in a fast paced, high growth environment

Compensation & Benefits
- Base salary: $48,000 to $60,000 annually based on experience
- Annual performance based bonuses
