Project Coordinator

Location: Brentwood, CA (in-office) with regular travel to job sites throughout the Bay Area

Type: Full-time · On-site · Some field travel

Compensation: $22–$34/hr (approx. $46,000–$68,000/yr), depending on experience

Reports to: Project Services Team Leader

Schedule: Typical hours are 9am to 5pm, Monday-Friday

About the Role

HetNet Wireless is looking for a highly organized, detail-obsessed Project Coordinator to be the right hand to our Project Services Team Leader. Based out of our Brentwood, CA office, you'll keep projects moving — coordinating schedules, ordering materials, managing vendors, and keeping clients and field crews aligned from kickoff through closeout.

This is a fast-paced role with a lot of moving parts. On any given day you might be building a project schedule in Excel, chasing down a material delivery, fielding a client update, and dispatching a technician — all before lunch. If you thrive on juggling priorities, live in spreadsheets, and take pride in nothing falling through the cracks, this is your seat.

Expect to spend most of your time in the office, with regular trips to active job sites across the Bay Area to check progress, coordinate logistics, and support the field team.

What You'll Do

Scheduling & Coordination

Build, maintain, and update project schedules and technician dispatch calendars
Coordinate crew assignments, site access, and daily job logistics with the Project Services Team Leader
Track project milestones, deadlines, and deliverables; flag risks and slippage early
Keep all stakeholders - internal and external - informed of schedule changes in real time

Materials & Procurement

Order materials, equipment, and supplies; track lead times and delivery dates
Maintain inventory and truck-stock records; reconcile against project needs
Process purchase orders and match them to invoices and packing slips

Vendor & Client Management

Serve as a day-to-day point of contact for vendors, suppliers, clients, and subcontractors
Solicit quotes, place orders, and follow up to keep commitments on track
Handle client communications professionally - status updates, scheduling, and documentation

Documentation & Administration

Maintain organized, up-to-date project files, permits, and compliance records
Build and manage tracking spreadsheets, reports, and dashboards in Excel
Support the Project Services Team Leader with reporting, billing prep, and closeout packages

What You Bring

2+ years in project coordination, project administration, or assistant PM work (construction, telecom, low-voltage, or trades environment strongly preferred)
Advanced Excel skills - comfortable with formulas, pivot tables, and building clean tracking sheets from scratch
Exceptional organization and attention to detail; you catch what others miss
Proven ability to multitask and prioritize in a fast-moving environment without dropping the ball
Strong written and verbal communication; confident dealing with vendors, clients, and crews
Self-starter who takes ownership and follows through
Valid driver's license and clean driving record (regular Bay Area job-site travel required)
Proficiency with Microsoft Office (Outlook, Word) and comfort learning project/scheduling software

Nice to Have

Experience in wireless, DAS/ERRCS, electrical, or construction project environments
Familiarity with purchasing/procurement or inventory systems
Exposure to scheduling software, project management tools, or CRMs
Understanding of permits, inspections, and AHJ coordination
