Full Job Description

Prout Financial Design is looking for an Administrative Assistant who enjoys working with people, takes pride in the details, and understands how much a welcoming and well-run office contributes to a client’s experience.

As the first point of contact for many of our clients, you will play an important role in creating the personal, professional experience we want people to have when they work with Prout Financial Design. You will greet clients, manage calls and scheduling, support our advisors and administrative team, and help keep the office organized and prepared for each day.

This position is a good fit for someone who enjoys variety. Some days may center on client appointments and office administration. Others may include preparing materials, coordinating a client event, helping with a mailing, or supporting marketing and social media activities.

What You’ll Do

Welcome clients and visitors and help create a comfortable, professional office environment
Answer and direct calls, take accurate messages, and assist with routine client questions
Schedule advisor appointments, client meetings, staff meetings, and other professional appointments
Manage calendars and help prepare correspondence, meeting materials, and client-facing documents
Maintain organized electronic and paper filing systems and assist with mailings and document management
Help manage office supplies, equipment, vendors, and other day-to-day office needs
Assist with client appreciation events, seminars, marketing materials, newsletters, and social media scheduling
Work closely with advisors and the administrative team on projects and changing office needs

Who We’re Looking For

We are looking for someone who is dependable, organized, and comfortable interacting with different people throughout the day. You should be a good listener, communicate professionally, and be able to manage several priorities while maintaining attention to detail.

You do not need to come to us knowing everything about financial planning. We do want someone who is curious, willing to learn, and interested in understanding our business so they can better serve our clients.

Previous office experience or education in a related field is helpful. Experience in financial services, wealth management, or another professional-services environment is a plus, but it is not required. Candidates should be comfortable with Microsoft Office, Outlook, email, calendars, internet-based systems, and general office technology.
