Full Job Description

Overview

Join our dynamic team as a Field Service Scheduler and become the vital link that keeps our field operations running smoothly! In this energetic role, you will coordinate and optimize the scheduling of field technicians.

AFC-Holcroft combined with Nitrex and GM Enterprises and head quartered in Wixom, MI, is the largest North American heat treat equipment manufacturer, and is interested in candidates for long-term career opportunities in the capital equipment sector. Our customer base includes general manufacturing as well as automotive within North America.

Qualifications/ Experience Required:

· High School Graduate

· Preferred Associate degree

· 3-5 years Technical Scheduling Work

· 3-5 years of Administrative Assistant experience preferred.

· Must be highly experienced in Microsoft software (Word, PowerPoint, Excel)

· Proven ability to multi-task with excellent communication and work under pressure from multiple sources.

· Demonstrated ability to communicate professionally, coordinate priorities among multiple stakeholders, and effectively manage competing scheduling demands.

· A precise command of grammar, punctuation, spelling, and the correct usage of the English language is required.

Responsibilities:

Dispatch and Routing: Assign incoming work orders to the best-suited technician.
Schedule Management: Build and update daily or weekly calendars. Adjust plans instantly when emergencies or urgent client requests pop up
Customer Communication: Call or email clients to confirm appointment windows. Provide updates on arrival times or delays
Resource Tracking: Monitor technician status, shift hours, and skills to avoid overloading staff. Ensure workers have the right parts or clearance for each job
Scheduling daily, weekly, monthly field service personnel
Follow up on service quotes
Participating in Field meetings
Work with our CRM System(s) to develop and maintain follow up campaigns for field
Excellent organizational skills with an ability to think proactively and prioritize work.
With little supervision, plan, anticipate field needs, customer follow up, team scheduling, documentation preparation etc.
Prepare reports, memos, letters, emails and other documents, using Outlook, Word, Excel, or PowerPoint.
Prepare responses to correspondence containing routine inquiries.
Prepare agendas and make arrangements, such as coordinating catering for luncheons, meetings and events within the department.
Handle confidential/sensitive information relevant to all aspects of the business.
Handle a variety of special requests at the request of managers.
Familiarity with basic finance department/bookkeeping tasks
Occasionally make travel arrangements for shop personnel
Exceptional cooperation and support of all other departments
Review and distribute field work, and manage schedules
Collaborate with department supervisors to determine progress of work and completion dates
Maintain a working knowledge of current department scheduling guidelines

Direct work with Field Service Manager

Organize, track, and schedule service requests
Gather field documentation and compile field packages.
Maintain field service master schedule

Direct work with Aftermarket Manager

Support AM Inside Sales as needed getting prints making copies
Pulling VLM drawings and scanning drawings
Quote follow up
Track quoting and order entry numbers and hit rate
