Job Title: Case Scheduler / Scheduling Coordinator
Reports To: Director of Operations
Status: Full Time, Non-Exempt, Hourly
Salary Range: $22-24/hour

WHAT YOU’LL DO

A Case Scheduler is the primary contact for clients and experts, ensuring accurate and timely coordination of case-related events, including medical examinations, record reviews, depositions, and testimony. This role requires strong communication skills to coordinate effectively with external clients and internal teams. Success in this fast-paced, deadline-driven role depends on exceptional multitasking, problem-solving, and customer service. While legal and medical industry experience is not required, familiarity is highly beneficial.

Responsibilities Include:

· Serve as the primary contact for assigned cases and client accounts.

· Build and maintain relationships with clients, experts, and vendors while delivering high-quality customer service.

· Accurately schedule all case-related events and services, including medical exams, record reviews, depositions, and testimony.

· Use AMG’s case management system for data entry, task tracking, and communication management.

· Monitor, track, and follow up on case details, deadlines, and required documents.

· Process and document incoming legal and medical records within AMG’s systems.

· Ensure all case-related processes meet client-specific requirements and expectations.

· Communicate with clients and experts via phone, providing direct support, answering inquiries, and ensuring accurate information is relayed.

· Assist with in-house examination duties, including front-desk coverage, chaperoning, and maintaining exam spaces.

· Maintain strict confidentiality when handling sensitive information, ensuring compliance with HIPAA privacy and security policies and procedures.

· Contribute ideas to improve AMG’s workflows and internal processes.

WHAT WE’RE LOOKING FOR

We’re seeking a proactive, customer-focused professional who thrives in a fast-paced, collaborative environment and is eager to contribute to a dynamic team. This is a remote role, requiring daily attendance to support client communications, scheduling, and case management.

Required Qualifications:

· High school diploma or equivalent

· Minimum of 2 years of experience in a professional office setting

· Proficiency with technology and Microsoft Office applications

· Experience using MS Teams, Slack, Zoom (or similar platform) for communication and collaboration

· Strong e-mail management skills

· Excellent verbal and written communication abilities

Preferred Qualifications:

· Familiarity with the legal and/or medical industry

· A positive, client-focused attitude with a “can-do” mindset

· A team player who can also work independently

· Strong time management and prioritization skills

· Ability to multitask and adapt to changing priorities

· Exceptional organizational skills with keen attention to detail

· Problem-solving skills with a proactive approach
