Full Job Description

JOB DESCRIPTION

The Accounting and Order Processing Agent handles daily transaction entry in Epicor across three areas: accounts payable, accounts receivable, and sales orders. You'll enter supplier invoices and match them against purchase orders and receipts, prepare and transmit customer invoices, and convert incoming customer purchase orders into sales orders with meticulous attention to detail.

This is a high-volume, detail-oriented role that requires strong organizational skills and a commitment to accuracy. The ideal candidate is comfortable working within structured systems, can efficiently manage repetitive tasks while maintaining a high level of precision, identifies and resolves discrepancies proactively, and demonstrates the ability to independently develop effective solutions when challenges arise.

Essential Job Functions

· Accounts Payable

· Enter supplier invoices into Epicor and match them against purchase orders and receipts.

· Research and resolve price, quantity, and receipt discrepancies with purchasing and suppliers before releasing invoices for payment.

· Code invoices to the correct general ledger accounts and job numbers, including outside processing and freight.

· Support scheduled check and ACH payment runs and month-end close.

· Accounts Receivable

· Generate customer invoices from completed shipments.

· Process credit memos and billing corrections with appropriate approval.

· Maintain customer billing records, contacts, and payment terms.

· Issue customer statements and support follow-up on past-due accounts.

· Sales Orders

· Enter customer purchase orders into Epicor, verifying part numbers, revisions, quantities, pricing, delivery dates, and terms against the governing quote or contract.

· Confirm order acknowledgments to customers.

· Enter and manage order changes, reschedules, and cancellations, communicating updates effectively with production to ensure accurate order fulfillment.

· Keep open order information current so that promised ship dates and quantities are accurate.

· Flag pricing, revision, or delivery discrepancies for resolution before an order is released to the floor.

· General

· Maintain organized digital records of AP, AR, and order documentation in line with company record retention requirements.

· Provide backup support for other administrative and accounting functions as needed.

Qualifications

· Minimum

· 2+ years of experience in data entry, accounts payable/receivable, order entry, or similar administrative work.

· Hands-on experience working in an ERP or accounting system.

· Demonstrated ability to accurately process high volumes of part numbers, purchase orders, invoices, and related documentation.

· Proficiency with Microsoft 365, particularly Excel and Outlook.

· Strong written and verbal communication skills, with the ability to interact professionally with suppliers, customers, and internal stakeholders.

· Ability to handle sensitive financial and customer information with confidentiality and discretion.

· Must be a U.S. Person as defined by ITAR 22 CFR 120.62.

· Preferred

· Associate's degree in accounting, business, or a related field.

· Experience with Epicor.

· Experience in a manufacturing or machine shop environment.

· Familiarity with three-way matching, sales tax, and general ledger coding.

· Aerospace or AS9100 experience.

Work Environment and Physical Requirements

· Office-based within a manufacturing facility.

· Must be able to remain in a stationary position for extended periods and operate standard office equipment.

· May occasionally lift up to 25 pounds.
