Full Job Description

About the Position - this position is only 30 hours per week

We are seeking a dependable, organized Administrative Assistant to support our property management team. This position serves as a key point of contact for property owners, vendors, and service personnel while keeping day-to-day office tasks, records, work orders, and communications moving efficiently. The right candidate is professional, detail-oriented, comfortable managing multiple priorities, and willing to help where needed.

What You’ll Do

· Answer and route phone calls, take accurate messages, and promptly relay emergency service requests to the Property Manager.

· Greet and assist property owners, vendors, service personnel, and other office visitors in a professional manner.

· Enter work orders and help coordinate property inspections, service appointments, meetings, and conference calls.

· Read and sort incoming mail; prepare outgoing mail, email correspondence, and other routine communications.

· Create and maintain organized electronic and paper files, correspondence, reports, and property records.

· Perform basic accounts payable and accounts receivable duties.

· Prepare routine correspondence, meeting agendas, reports, copies, and meeting materials; record minutes when requested.

· Prepare welcome packets for new property owners.

· Order office supplies and coordinate routine equipment maintenance.

· Research information and compile basic statistical or operational reports as needed.

What We’re Looking For

· Associate degree or equivalent education preferred; related administrative experience may be substituted.

· Six months to one year of administrative, clerical, property management, or similar office experience preferred.

· Strong written and verbal communication skills, including the ability to prepare professional correspondence.

· Good organization, accuracy, follow-through, and the ability to manage changing priorities.

· Working knowledge of Microsoft Word and Excel; experience with accounting, database, or property management software is helpful.

· Professional and courteous when handling calls, visitors, and confidential information.
