ROLE:
The Administrative Assistant serves as the primary administrative support to TOGETHER!’s Executive Director and helps ensure efficient, organized day-to-day executive and administrative operations. This role requires strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities with professionalism and discretion. The ideal candidate is passionate about TOGETHER!’s mission and demonstrates the emotional maturity and sound judgment necessary to handle sensitive and confidential information.
HOURS & WORK SCHEDULE
Weekly Hours: 20
FTE: Part-Time
Classification: Non-Exempt
Work Schedule:
The typical schedule is 9:00 a.m. to 2:00 p.m., Monday through Thursday, or a similar schedule based on operational needs. Occasional evening or weekend work may be required, as well as some infrequent out-of-town travel.
COMPENSATION
Expected Hiring Range: Candidates hired for this position can expect a starting wage of $24.17 – $27.17 per hour. The final starting rate will be based on relevant qualifications and experience.
Full Position Wage Range: The established wage range for this position is $24.17 – $29.00 per hour. This broader range reflects potential wage progression over time and is not the expected starting range for new hires.

WORK LOCATION
The primary work location for this position is TOGETHER!’s headquarters. Remote work may be available when appropriate based on organizational needs and the responsibilities of the position.
Reliable transportation is required for occasional travel between TOGETHER! worksites and work-related errands.
KEY RESPONSIBILITIES
Executive & Governance Support
- Manage and maintain the Executive Director's calendar, scheduling meetings, appointments, and organizational commitments.
- Coordinate meeting logistics, including invitations, agendas, materials, and follow-up items.
- Assist with email management, correspondence drafting, and communication tracking as assigned.
- Monitor deadlines, commitments, and action items to ensure timely completion.
- Prepare documents, presentations, reports, and other materials for meetings and organizational initiatives.
- Establish and maintain organized electronic and physical filing systems.
- Coordinate Board of Directors meeting logistics and scheduling on behalf of Executive Director.
- Prepare and distribute board packets and meeting materials.
- Attend board meetings as needed and record meeting minutes for Executive Review.
- Support committee meetings and governance-related administrative functions.
- Assist with preparation of agendas and follow up items for regularly scheduled internal fund development meetings. Coordinate follow-up activities and monitor project timelines.
- Correspond with funders/funder prospects to schedule meetings, gather information, or provide updates as directed.
Administrative Operations Support
- Process, organize, and route documents requiring Executive Director review or approval.
- Coordinate check requests, approvals, signatures, and related financial documentation.

General Duties

REQUIRED QUALIFICATIONS
Education
High School Diploma or Equivalent
Professional Experience
Two or more years of administrative support experience. Nonprofit experience is additionally preferred.
Licensure & Certifications
- Valid Driver’s License and auto-liability insurance

- Ability to represent TOGETHER! professionally, contributing positively to relationships with partners, stakeholders, community members, and program participants while upholding the organization’s mission and values.
PREFERRED QUALIFICATIONS
- Direct experience as an Executive Assistant in Non-Profit or Board Support Capacity
- Bilingual – Spanish / English speaker with Spanish reading & writing fluency.
