Business Office Manager for Sugarloaf Gardens

Accounting Payroll Business Operations

Payrate: $25.00 $30.00/hour, based on experience
Flexible Location: Greenfield, MA and Sunderland, MA

Schedule: Flexible hours; Full-Time in Spring - Fall; Part-Time in Winter

Sugarloaf Gardens, is a family-owned garden center located in Sunderland, MA. We pride ourselves on exceptional customer service, high-quality plant materials and selection, and a team-first culture. As we continue to grow, we're looking for an experienced and highly organized Business Office Manager who enjoys building and maintaining efficient systems, supporting customers, and helping a successful local business operate at its highest level.

Position Summary

The Business Office Manager is responsible for overseeing the day-to-day administrative and financial operations of Sugarloaf Gardens including bookkeeping, payroll, accounts payable, reporting, purchasing, office operations, and providing administrative support to our commercial landscaping customers. Success in this role requires exceptional organization, attention to detail, professionalism, and the ability to manage multiple priorities while maintaining accuracy, confidentiality and excellent customer service.

Job Duties:

Accounting & Financial Management

Manage all accounts payable and process daily receipts
Process weekly payroll accurately and on schedule
Maintain all bookkeeping within QuickBooks
Reconcile bank accounts, credit card statements and prepare deposits
Generate sales, purchasing, inventory, and financial reports
Assist with year-end reporting
Ensure timely vendor payments and customer collections
Maintain confidential financial information

Office Management

Oversee daily office operations
Utilize Rapid POS system
Order office supplies, uniforms, company apparel, and business materials

Commercial Customer & Operations Support

Assist commercial customers with orders, product availability, and administrative requests
Coordinate back-office support for commercial landscaping operations
Process commercial orders and related documentation
Assist with product purchasing and special administrative projects, as needed

Qualifications

Minimum of 3 years of experience in bookkeeping, accounting, office management, or business administration required
Strong QuickBooks experience required
Strong Microsoft Excel and Word skills
Excellent organizational and time management abilities
Strong written and verbal communication skills
Ability to manage multiple priorities while maintaining exceptional attention to detail
Professional, dependable, and self-motivated
High level of integrity and confidentiality

Preferred Qualifications

Associate's or Bachelor's Degree in Accounting, Business Administration, or a related field
Experience with purchasing and inventory coordination
Experience creating reports and improving office processes
Experience in landscaping, construction, retail, wholesale, agriculture, or other seasonal businesses, a plus but not required
