Full Job Description

Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This vital role ensures smooth administrative functions, effective communication, and a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will bring a proactive approach, exceptional organizational skills, and a passion for creating efficient workflows. As an Office Manager, you will be the backbone of our office, fostering a productive and positive work environment that supports our team’s success. Must have basic Knowledge of the swimming pool business. Must understand how to read and dosage pool chemistry properly.

Responsibilities

Oversee all front desk operations, including greeting visitors, managing multi-line phone systems, and maintaining professional phone etiquette.
Coordinate calendar management and scheduling for meetings, appointments, and company events using tools like Google Workspace and Microsoft Office.
Handle clerical tasks such as data entry, filing, proofreading documents, and maintaining accurate records to support daily office functions.
Manage office supplies inventory, place orders as needed, and ensure the workspace remains organized and well-stocked.
Provide exceptional customer service by supporting clients and visitors with inquiries and directing them appropriately. Exceptional sales experience.
Assist with bookkeeping duties using QuickBooks or similar software to manage invoices, expenses, and basic financial records.
Support administrative tasks related to personal assistance, including calendar management for executives or team members as required.
Assist organization for pool repair truck order parts needed , create estimates and invoices

Qualifications

Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Excellent computer literacy with the ability to learn new software quickly.
Prior clerical experience including data entry, filing, proofreading, and document management.
Strong customer service skills with professional phone etiquette and experience handling multi-line phone systems.
Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
Must be able to lift 100 lbs
Must be able to analyze water chemistry and provide accurate dosage to clients
Knowledge of bookkeeping tools such as QuickBooks is preferred.
