Full Job Description

SUMMARY:

Under general direction of the Executive Assistant and Superintendent, the District Secretary is expected to perform responsible and accurate clerical, technical and public relations-type duties with a minimal amountof supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 Provides support to the Executive Assistant and Superintendent.

 Greets office visitors and takes telephone calls in a friendly and professional manner; relays information and makes referrals as necessary.

 Participates in the preparation, assembling and distribution of agendas and related materials.

 Researches, collects, records, maintains and distributes information, billing and statistical data pertaining to various programs.

 Composes correspondence, news releases, public information, memos, reports, and other materials independently or from oral and/or written instructions.

 Schedules and prepares the boardroom for events, conferences, functions and meetings.

 Collects and records information and statistical data; prepares and/or assists in the preparation of surveys, directories, calendars, reports, etc.

 Prepares and processes work orders and purchase orders; orders, receives, stores and distributes forms and supplies.

 Updates district website, handbooks, reference materials, and manuals.

 Receives, sorts and distributes mail.

 Performs other duties as assigned.

QUALIFICATIONS /REQUIREMENTS:

KNOWLEDGE OF:

 Correct English usage, grammar, spelling, punctuation, and vocabulary.

 Secretarial practices, procedures, and equipment.

 Word processing, spreadsheet, database management, and applicable software.

 Basic record-keeping procedures.

 Professional telephone techniques and etiquette.

 Interpersonal skills using tact, patience, and courtesy.

ABILITY TO:

 Read, write, and speak English and Spanish sufficiently to successfully perform required duties.

 Hear, speak, and write to receive and exchange information.

 Interpret rules and policies.

 Communicate effectively both orally and in writing.

 Perform clerical duties such as filing, typing, duplicating and maintaining accurate records.

 Establish and maintain cooperative and effective working relationships with others.

 Work independently with little direction.

 Operate various office machines such as typewriters, computer terminals, printers, calculators, answering machine, copiers, letter folder, multi-line telephone, etc.

 Work confidentially.

 Meet schedules and timelines with many interruptions.

 Make arithmetic calculations with speed and accuracy.

EDUCATION/EXPERIENCE:

 High school graduate or equivalent.

 Type and keyboard with speed and accuracy.

 Desired: One year of college and two years of increasingly responsible secretarial experience in a school district or human resource department.

WORK ENVIRONMENT/PHYSICAL DEMANDS:

 Sitting and viewing a computer monitor for extended periods of time.

 Dexterity of hands and fingers to operate a keyboard.

 Reach, bend, and stoop to file.

 Lift and move office supplies and equipment weighing up to 25 pounds.

Pay: From $24.00 per hour
