Hospital Operations Manager

The Operations Manager (Facility Administrator) oversees the daily functions of Patient Access Services, including insurance verification, prior authorizations, and ensuring an exceptional patient experience. This hands-on role is actively involved in day-to-day operations, with responsibility for maintaining regulatory compliance, operational efficiency, life safety, and facility maintenance. The Facility Administrator leads through collaboration and accountability, requiring strong leadership skills in operations, fiscal management, effective communication, and interpersonal relationships.

POSITION REQUIREMENTS:

A minimum of five years of patient access, revenue cycle or healthcare management, as well as experience in healthcare operations.
Strong knowledge of insurance verification, prior authorization, and patient billing processes.
Proven leadership and team management skills.
An associate or bachelor’s degree is preferred.
Excellent communication, problem-solving, and organizational abilities.
Must be able to read, write, and speak English fluently.
Workday experience a plus

Job duties related to hospital opening:

Establish and maintain non-clinical contracts with vendors.
Oversee safety and environmental building inspections.
Participate in the credentialing process of physicians and practitioners in collaboration with the Compliance Department
Maintain documentation of bylaws
Manage non-clinical hospital inventory.
Hire and train Patient Access Representatives and other non-clinical staff
Receive and organize facility materials.
Create and maintain confidential HR personnel files.
Onboard new hires and assist with document completion.

PRIMARY RESPONSIBILITIES

Ensure accurate and timely completion of patient registration, scheduling, insurance verification, and prior authorizations.
Monitor and improve departmental performance metrics such as registration accuracy, wait times, and point-of-service collections.
Collaborate with clinical, billing, and coding departments to support a seamless revenue cycle.
Maintain provider credentialing, privileging documentation, and state-mandated records.
Participate in CIHQ credentialing activities and site visits, as well as state-level inspections.
Assist in the hiring process for Patient Access Representatives in collaboration with the Chief Nursing Officer.
Lead, manage, and develop the Patient Access team.
Oversee scheduling for assigned staff and provide coverage for Patient Access as needed.
Manage and update vendor and contractor files for the facility.
Attend monthly meetings and transcribe detailed meeting minutes.
Coordinate facility maintenance by liaising with external service providers (e.g., cleaning, electrical, plumbing) and local/state authorities.
Manage maintenance and service of office equipment.
Coordinate and ensure timely payment of monthly invoices.
Prepare and process bank deposits.
Represent the hospital at marketing events and community functions, promoting a positive public image.
Uphold professional conduct at all times; comply with all company policies and procedures while maintaining strict confidentiality.
Adapt to evolving responsibilities as assigned by the management team.
Perform general clerical duties, including photocopying, faxing, and mailing.
Enforce company policies and procedures to ensure standardized workflows across all entities.
Perform additional duties as assigned.

WORKING CONDITIONS

1. Physical Demands – While performing the duties of this job, the employee must lift and move up to fifty pounds with good body mechanics. Employees are frequently required to stand and walk for up to 8 hours, and to perform frequent bending and twisting motions.

2. Adverse/Hazardous Conditions - Potential injuries from physical efforts and chemical irritants. Potential exposure to body fluids and infectious diseases.
