Full Job Description

Position Overview

GPI Enterprises is seeking a detail-oriented Administrative Assistant to support the United States Attorney's Office (USAO) for the Northern District of Mississippi. This position provides a wide range of administrative, clerical, and office support services in a professional federal law enforcement environment.

The ideal candidate is highly organized, exercises sound judgment when handling sensitive information, enjoys working in a fast-paced office, and possesses excellent administrative, communication, and computer skills.

Essential Duties & Responsibilities

Responsibilities include, but are not limited to:

Answer, screen, and route incoming telephone calls.
Greet visitors, issue visitor badges, and maintain visitor logs.
Process incoming and outgoing mail, packages, and courier shipments.
Perform copying, scanning, filing, and other general office support duties.
Operate standard office equipment, including multi-line phone systems, copiers, scanners, and mailing equipment.
Create, maintain, organize, archive, and dispose of paper and electronic files in accordance with established procedures.
Reserve conference rooms and government vehicles using electronic scheduling systems.
Open civil and criminal case files within the USAO case management system.
Enter, update, verify, and maintain case information with a high degree of accuracy.
Review information for completeness and resolve discrepancies before data entry.
Perform quality control reviews of case information using electronic databases.
Electronically file court documents through various federal court filing systems.
Maintain organized electronic document repositories and version-controlled files.
Handle sensitive and confidential information in accordance with Department of Justice policies and procedures.
Assist attorneys and staff with a variety of administrative and clerical support functions.
Perform other related administrative duties as assigned.

Required Qualifications

High school diploma or equivalent required. An Associate's degree in Business Administration, Office Administration, Criminal Justice, or a related field is preferred.
Two (2) years of administrative or clerical experience .
Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Excellent organizational skills with strong attention to detail.
Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
Strong written and verbal communication skills.
Ability to work independently while collaborating effectively with government personnel.
Must be a U.S. Citizen.
Must be able to successfully pass a background investigation and maintain eligibility to work within a Department of Justice facility.

Preferred Qualifications

Experience supporting a legal office, court, government agency, or other professional office environment.
Experience with electronic filing systems, document management systems, or case management databases.
Experience performing records management, data entry, or administrative support in a highly regulated environment.
Mailroom or office operations experience is a plus.

Work Environment

This position is performed onsite at the United States Attorney's Office in Oxford, Mississippi. The normal work schedule is Monday through Friday from 8:00 AM to 5:00 PM, excluding federal holidays. Occasional overtime may be required with prior government approval.

Pay: $40,000.00 - $45,000.00 per year
