Full Job Description

Position Summary

The Human Resources Assistant supports the daily operations of the HR department for a healthcare staffing and nursing services organization. This full-time, in-office role is central to keeping our clinical workforce compliant, onboarded, and supported — with a strong emphasis on following up with applicants and nurses to ensure all required documentation, health screenings, and credentials are completed on time. The Assistant plays a key part in moving candidates smoothly through hiring and onboarding, coordinating health screenings and training across New York, and supporting payroll and compliance. The ideal candidate is highly organized, detail-oriented, discreet with confidential information, and comfortable with consistent, proactive follow-up and communication.

Key Responsibilities

Recruitment & Applicant Follow-Up

Follow up with applicants throughout the hiring process, including proactive personal outreach to candidates who have not responded to initial automated contact, to increase engagement and keepthe pipeline moving.
Verify nursing credentials and review candidate qualifications against open positions and cases.
Match candidates to open cases by location, using knowledge of New York geography and counties to coordinate the right local resources.
Coordinate hand-offs between hiring stages — including transitioning candidates to the SchedulingCare Manager — to accelerate the process.

Onboarding & Compliance Follow-Up

Track new-hire onboarding progress and proactively follow up with nurses to collect any missing or incomplete required items (documentation, credentials, forms, certifications).
Coordinate and schedule required physical exams, background checks, and drug testing, using a localized list of contracted urgent care centers organized by county to schedule based on each applicant’s location. Track completion and confirm results are received (services paid for by the company).
Upload completed screening and onboarding documentation, and obtain the required approvals to activate new hires.
Monitor credential and license renewals (nursing licenses, certifications, CPR/BLS, etc.) and send timely reminders to ensure staff remain in good standing.
Coordinate required training sessions — including phase-one onboarding training with the Nurse Instructor and scheduling sexual harassment prevention training during business hours.
Track all onboarding and compliance progress in the company’s project-tracking system and maintain accurate, up-to-date employee records and compliance files.

Payroll Support

Assist with payroll processing, including collecting and verifying timesheets and hours ahead of weekly payroll deadlines.
Proactively contact staff who have missed a clock-in or clock-out to ensure timesheets are complete and accurate.
Help resolve routine payroll questions and discrepancies in coordination with the payroll/HR team.

Forms & Verifications

Prepare and gather background documentation for workers’ compensation claims and related forms.
Complete salary and employment verification requests accurately and promptly.
Assist with pay rate reviews — compiling information, verifying how long a nurse has held a given rate, and gathering feedback from the nursing supervisor.
Manage HR forms and documentation, ensuring completeness and proper filing.

General HR Support

Provide prompt responses to emails and phone calls, and manage incoming mail; escalate urgent matters as appropriate.
Respond to employee inquiries and direct them to appropriate resources.
Maintain organized digital and physical HR records.
Support general administrative HR functions and special projects as assigned.
Ensure all activities comply with company policies and applicable regulations (including HIPAA where health information is involved).

Qualifications

Required

High school diploma or equivalent; associate’s or bachelor’s degree in HR, business, or a related field preferred.
At least 1 year of HR experience.
Experience with HR programs/software (HRIS, payroll, and/or applicant tracking systems).
Familiarity with the New York area and its geography — able to match candidates to cases by location and coordinate local health screenings.
A proactive, recruiter-minded approach to candidate engagement and follow-up.
Strong organizational skills and attention to detail, with the ability to track and follow up on many items simultaneously.
Excellent written and verbal communication skills; comfortable with persistent, professional follow-up.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Ability to handle confidential and sensitive information with discretion and professionalism.

Preferred

Experience in healthcare, home care, or nursing staffing environments.
Familiarity with credentialing, licensing renewals, workers’ compensation, and/or payroll processes.
Familiarity with project management or task-tracking software (e.g., Asana).
Knowledge of HIPAA and healthcare compliance requirements.
