Full Job Description

Overview: Nova Eye Institute is seeking a highly organized, patient-focused Front Desk Receptionist to join our growing ophthalmology practice. This role is much more than answering phones and checking in patients—it serves as a critical part of the patient care journey by ensuring patients are properly scheduled, financially cleared, and guided through the complexities of today's healthcare system.

The ideal candidate has a strong foundational understanding of medical insurance, including HMO, PPO, Medicare, Medicare Advantage, medical groups (IPAs), referrals, and authorization workflows. Experience navigating insurance requirements and coordinating authorizations is essential, as accuracy in these processes directly impacts patient access to care.

This position also requires flexibility to support multiple office locations as operational needs arise. Occasional travel between our clinics (up to approximately 40 miles) may be required, with mileage reimbursement provided in accordance with company policy.

We are looking for someone who is detail-oriented, adaptable, and committed to delivering an exceptional patient experience while working collaboratively with providers and clinical staff in a fast-paced specialty practice.

Duties:

Greet patients and visitors with professionalism and warmth, creating a positive first impression.
Manage appointment scheduling, confirmations, and rescheduling using ophthalmology-specific software such as NextGen, Compulink, especially Nextech.
Accurately maintain and update patient records, ensuring strict confidentiality and adherence to HIPAA regulations.
Assist patients with insurance verification, billing inquiries, and payment processing.
Handle incoming calls, emails, and messages efficiently, providing clear and helpful communication.
Coordinate with ophthalmologists, technicians, and clinical staff to ensure smooth daily operations.
Utilize practice management software to track patient care plans, referrals, and necessary follow-ups.
Perform general office management duties, including filing, data entry, inventory tracking, and supply ordering.
Provide bilingual support to patients as needed, enhancing accessibility and patient care.
Assist with back-office tasks, including processing paperwork, organizing medical records, and supporting clinical staff when necessary including workups and diagnostic imaging.

Requirements:

Strong working knowledge of HMO, PPO, Medicare, Medicare Advantage, medical groups (IPAs), referrals, and prior authorization processes.
Previous experience as a medical receptionist, preferably in an ophthalmology or healthcare setting.
Familiarity with ophthalmology practice management software such as NextGen, Compulink, or Nextech is highly desirable.
Strong organizational skills with the ability to multitask and adapt in a fast-paced environment.
Excellent verbal and written communication skills; bilingual abilities are a plus.
Proficiency in using computers and office equipment; knowledge of electronic health records (EHR) systems is beneficial.
Ability to maintain confidentiality and comply with HIPAA regulations regarding patient information.
