Job Overview
Under the supervision of the Site Supervisor-Family Advocate and with support from the Center Director and program management, the Family Child Care Advocate provides in-classroom support and family support services to up to 24 preschool children enrolled in our Center Base Program Options. The position supporting parent engagement and working as a member of a teaching team at one of our licensed child care centers. The Family Child Care Advocate will provide care and services in accordance with the Head Start Program Performance Standards, State of California Title 5, Community Care Licensing and other associated federal, state and local regulations.
Responsibilities
- Provide support in classroom settings in keeping with the program’s curriculum and philosophy (Creative Curriculum, Anti-Bias Curriculum and Developmentally Appropriate Practices, PITC and CSEFEL) that reflect and respect the individual development and diversity of the program’s children, families and staff.
- Assist in coordinating services for children, specifically related to children with chronic health conditions, disabilities and behavioral concerns.
- Act in partnership with the teaching team in conducting classroom activities in assisting children in the classroom especially during times of transition.
- Provide classroom support and coverage during teacher breaks, lunches and during naptime.
- Support active supervision of children when in classroom and during outdoor play that ensures compliance with mandated teacher/child ratios.
- Ensure children’s health and safety and provide constant monitoring and attentive supervision.
- Administer first aid and incidental medical service appropriate to training.
- Comply with responsibilities as a mandated reporter.
- Participate in monthly emergency and fire drills.
- Contact parents when a child’s behavior is unsafe to self or others.
- Promote daily attendance and encourage participation in center, program, agency and community-wide events.
Case Management & Family Support
- Conduct Family Assessments and assist up to 24 families in developing Family Partnership Agreements which include identifying family strengths, setting goals, developing strategies, establishing timelines, monitoring ongoing follow-up services, and assessing outcomes.
- Provide comprehensive case management services, and assist families with resources, referrals and in accessing services that support health, wellness, and resiliency.
- Retain a working knowledge of and support access to community health and social service resources, including services for children with chronic conditions, behavioral concerns and/or developmental delays and disabilities.
- Support the health and wellness of children and compliance with health requirements by working with parents to ensure that each child is up-to-date with their immunizations and age appropriate EPSDT health requirements, and monitor treatment needs.
- Assist in coordinating and conducting required health screenings and growth assessments as appropriate to training and required certification.
- Work in coordination and collaboration with community partners, health care providers and other social service agencies.

- Comply with program and agency policies and procedures related to maintaining client confidentiality in accordance with HIPPA regulations.
- Conduct timely completion of all required paperwork, filing and data entry, edit and update attendance records, family support services and health related information using the Child Plus database and other established record-keeping systems.
Parent, Family and Community Engagement
- Welcome parents and children to the site and work in partnership to support child transitions during drop-off and pick-up times.
- Promote the importance of consistent attendance and support parents in developing attendance goals and improvement plans.
- Assist parents and community volunteers in completing documentation of in-kind contributions.
- Coordinate with team members at the site to support parents interested in volunteering in the classroom, site and/or with special projects.
- Assist PFCE Coordinator, Center Director, and Policy Council-Parent Advisory Committee Representative in planning and conducting twice monthly Parent Committee Meetings.
- Be available to parents to answer questions and work to resolve conflicts in a positive manner to the benefit of the children, parents, staff, program and agency.
- Work with the PFCE Coordinator, Teachers and family service workers to support Parent, Family and Community Engagement at the site.
- Work with program management and local agencies to coordinate appropriate services to children, including children with disabilities and special needs.
- Encourage parents to participate in program wide and community events.
Ongoing Monitoring
- Inspect classrooms, entryways and outdoor space, remove any hazards and report concerns that ensure the health and safety of children enrolled.
- Review Daily Roster and Meal Counts to ensure accuracy and documentation of the actual number of children in attendance throughout the day.
- Conduct review of child attendance rates and contact family regarding absenteeism.
- Review Medication Authorizations, prescription medications prior to use and monthly to ensure compliance with program policies and adherence to authorized procedures, use and expiration.
- Review Meal Modifications and ensure compliance during meal service.
- Review applications, documents, exams, and reports to ensure the accuracy of data systems and record keeping and compliance with federal, state and local requirements and regulations.
- Conduct regular file maintenance and review of client records, including the transportation of files and documents to and from sites when required.
- Review reports and child files to ensure accurate record keeping and appropriate documentation of service delivery in accordance with all associate federal, state and local regulations.
- Review family assessments, partnership agreements, parent engagement, referrals, and case management notes, to ensure accurate record keeping, documentation, quality of service and compliance with Head Start Program Performance Standards (HSPPS) and other related requirements and/or regulations.
- Assist in monitoring parent, family and community engagement, and the quality of services being provided to the children and families in our care.
- Ensure implementation and assess the effectiveness of the Ongoing Monitoring System.
- Participate in the Annual Self-Assessment and Community Assessment.
Program and Agency
- Support and promote the agency and program mission and philosophy within the agency, program and community, including following the agency and program lines of communication
- Comply with Community Care Licensing, Child Adult Care Food Program, State of California Department of Education regulations and Head Start Program Performance Standards.
- Explain and clarify regulations, policies, procedures, and promote established goals and objectives.
- Discuss concerns, answer questions, and work to resolve conflicts in a positive manner to the benefit of the children, parents, staff, program and agency.
- Actively participate in program-wide activities, meetings, events, training, and other professional growth and development opportunities
- Work with, contribute to, and serve as a member of a multidisciplinary team by encouraging and facilitating problem solving strategies; accepting supervision, and working closely with direct service staff, program management, agency administration, community partners, coaches and consultants to ensure high-quality services and implementation of best practices.
- Complete and submit time sheets, mileage reimbursement forms and requests for materials, equipment and supplies in a timely manner.
- Be flexible, organized and demonstrate strong time-management skills.
- Follow established confidentiality policies, procedures and mandated reporting protocols.
- Seek support as needed and accept guidance from coworkers, program management, program specialists, consultants and coaches.
- Support the professional development of other staff members by sharing expertise and knowledge of processes, procedures and practices that support quality, coordinated and responsive services for the children and families.
- Perform ad hoc duties and tasks as assigned.

Pay: $25.04 - $28.15 per hour
