15|40 is a creative-led marketing events agency specializing in thoughtful experiences and integrated activations for global brands. With offices in Los Angeles and New York, we concept, design, and execute groundbreaking immersive environments that leverage innovative strategy and technology. Our team of highly skilled event professionals produces over 300 events annually. We continue to build a team of experts who provide exceptional client service, work hard, are flexible team players, pay keen attention to detail, and have strong problem-solving skills.

POSITION DESCRIPTION:

The Human Resources & Office Operations Coordinator is a key member of the New York office team, responsible for supporting day-to-day operations, human resources, payroll, and administrative functions. This role serves as the first point of contact for employees, visitors, and vendors while ensuring smooth office operations, accurate financial tracking, and efficient HR processes.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while supporting staff and vendors, ensuring compliance with New York labor laws, and maintaining a professional, productive office environment.

Candidates are expected to work onsite at our Brooklyn office five days a week.

JOB RESPONSIBILITIES:

Human Resources Coordinator (NY), but is not limited to:

Human Resources & Employee Administration

· Process shop applications, coordinate interviews, and post job openings.

· Maintain employee records in accordance with New York State recordkeeping requirements.

· Support compliance with the NY Sick Leave Law, Paid Family Leave, and other mandated employee benefits.

· Prepare new-hire areas and manage onboarding tasks as needed.

· Track shop PTO forms, time corrections, and employee reimbursements.

· Support disciplinary processes and submit workers’ compensation claims to the HR Coordinator (CA).

· Serve as a liaison between the NY office and California headquarters for HR compliance, ensuring adherence to company-wide policies while meeting state-specific requirements.

· Create shop employee schedules based on onsite event needs, shop requirements, and staffing availability.

· Submit and approve payroll under the guidance of the HR Coordinator (CA), ensuring payroll practices comply with New York labor laws, including wage and hour regulations, overtime rules, and paid time off requirements.

· Process employee reimbursements with accurate documentation and coding, including mileage, travel, and shop-related expenses.

Admin Support

· Support employee recognition programs, company activities, and swag distribution.

· Assist with the company calendar and event scheduling as needed.

· Maintain clean and organized common areas and ensure office equipment is stocked and functioning.

· Provide IT support as needed.

· Perform general administrative tasks to support the NY office operations.

· AMEX: Track recurring expenses, including dumpsters, janitorial services, restrooms, and shop supplies.

· Use SAP Concur to submit and track expense reports, upload receipts, assign job codes, and add comments for job breakdowns and usage.

· Review and resubmit expenses returned for corrections and manage lost or missing receipts with proper documentation.

· Maintain organized vendor records and request updated Certificates of Insurance as needed.

· Communicate with vendors regarding billing, payments, and account updates in accordance with AP policies and procedures.

· Assist with processing vendor invoices and ensure timely submission to the accounting department.

REQUIRED QUALIFICATIONS AND SKILLS

· 4 years of experience in human resources, office administration, or operations.

· Strong organizational, multitasking, and time-management skills with excellent attention to detail.

· Familiarity with SAP Concur or similar expense tracking and reimbursement systems.

· Familiarity with payroll processes, employee onboarding, and personnel recordkeeping.

· Knowledge of New York labor laws and HR compliance requirements.

· Strong interpersonal, verbal, and written communication skills.

· Ability to manage multiple priorities in a fast-paced office environment.

· Proven ability to maintain confidentiality and handle sensitive employee information professionally.

· Proficiency in Microsoft Office Suite, Google Suite, and Mac computers.

PHYSICAL DEMANDS:

· This position requires the ability to sit or stand for extended periods and to occasionally lift up to 25+ pounds.
