Full Job Description

The City of Valparaiso, located in the corner of Northwest Indiana, just 60 miles southeast of Chicago, IL and 15 miles south of the beautiful Indiana Dunes National Park, is seeking an Administrative Manager for the Parks & Recreation Department. This position provides leadership and operational support for the Customer Service team and oversees administrative functions for the City of Valparaiso Parks and Recreation Department. This position is responsible for coordinating external relations, serving as the primary liaison to the Parks Board, and facilitating effective communication between the Department and key stakeholders.

Reporting directly to the Operations Director, the Administrative Manager works collaboratively with the Parks leadership team and representatives from other City of Valparaiso departments to support departmental initiatives, ensure efficient operations, and advance organizational goals.

Qualifications Include:

High School Diploma or equivalency.
One (1) to Three (3) years of administrative, customer service, or management experience preferred.

Position Expectations Include:

Provides overall management, as well as day-to-day supervision of customer service and administrative support functions and staff for the Parks Department. This includes but is not limited to: making hiring decisions; coordinating workflow and assignments; analyzing workload; providing training, coaching, and performance feedback/corrective instruction; monitoring productivity, accuracy, and adjusting workflow; and taking corrective action, as necessary.
Completes tasks assigned by Director, with confidentiality, accuracy, and promptness.
Coordinates communication and scheduling of meetings for Director’s office and key stakeholders, including board members, Department staff, team officers, City leadership, donors, business leaders, and the public.
Cultivates relationships between Department, Parks Foundation, donors, businesses, and local community, for purposes of fund development. Directly advances private support for Department and Foundation by coordinating efforts with Marketing and Development departments.
Provides support to the Department’s Director, and clerical support for all Department offices as needed. Clerical functions include, but are not limited to, customer service, assisting in typing correspondence, memorandums, and reports, duplicating and filing completed documents, creating Department reports, and maintaining Department records and files, assuring convenient retrieval.
Answers department telephone and directs calls, assists in-person customers, provides information and registration services for recreational programs, processes payments and refunds, and issues reimbursements.
Updates websites and social media outlets, working with marketing team to create effective campaigns.
Occasionally works with media outlets to promote press releases.
Coordinates Department and Foundation special events, providing leadership for staff and volunteers.
Provides support for Department and Foundation boards, including but not limited to, planning events, coordinating meetings, and recording/transcribing meeting minutes.
Assists with Department and Foundation bookkeeping by coordinating with the Operations Director, Payroll/Bookkeeping Assistant, and auditors.
Assists Department and Foundation staff and City and County staff with various tasks as necessary.
Transfers deposits to/from bank and must drive/transport items to/from events.
Performs duties of Director in their absence or as needed.
Performs other duties as assigned.

Compensation:

The City of Valparaiso provides a competitive salary structure. Pay for this position will be +/- 61,928 annually commensurate with the candidate’s qualifications, experience, and education. The position is overtime eligible and is scheduled for 40+ hours per week.
