Full Job Description

The Los Angeles Homeless Services Authority (LAHSA) seeks motivated professionals who want to use their talents and skills to make a difference. Created in 1993, LAHSA is a joint powers authority of the city and county of Los Angeles. As the lead agency in the HUD-funded Los Angeles Continuum of Care (CoC), we coordinate and manage federal, state, county, and city funds for programs providing shelter, housing, and services to people experiencing homelessness.

The Coordinator provides administrative, operational, and project coordination support to the Chief Finance Officer (CFO). This position will help ensure smooth day-to-day operations, effective communication, and follow-through on agency priorities for Fiscal Teams. The role requires strong organizational skills, attention to detail, and the ability to coordinate projects, meetings, and communications across departments and with external partners.

The functions listed below are intended to describe the general nature and level of work being performed and are not to be interpreted as an exhaustive list of responsibilities.

Essential Job Functions

Administrative & Operational Support:

Provide general administrative support to senior leadership, including meeting coordination, and preparing briefing materials.
Track follow-up items and ensure timely completion of leadership action items.
Maintain organized records, files, and documentation for projects and initiatives.
Support internal communications by drafting correspondence, memos, and presentations.
Assist in preparing talking points, summaries, and briefing materials for meetings.
Support alignment of program activities with agency and funder priorities through coordination and documentation.

Stakeholder & Partner Coordination:

Schedule and coordinate meetings with external stakeholders, funders, and community partners.
Take notes, prepare summaries, and track next steps from meetings.
Represent the Executive Office in a professional manner in communications and correspondence.

Essential Finance Functions:

Support the CFO in monitoring special finance projects, including system implementations, and process redesign efforts by tracking milestones, risks, and deliverables.
Assist with compiling and organizing financial data for internal analyses, dashboards, and presentations to the Executive Team, Board, and funders.
Coordinate cross-functional workstreams across related to budget development, grant compliance, service provider payables, and audit response, ensuring tasks, owners, and timelines are clearly documented, monitored, and updated.
Draft and maintain workplans and status reports for CFO-led initiatives, highlighting decision points, resource needs, and follow-up actions.
Assist with preparation for external monitoring and audits (federal, state, local, or independent), including organizing schedules, supporting documents, and responses to information requests.
Maintain organized electronic files and project repositories for CFO initiatives, ensuring key decisions, approvals, and reference materials are easily accessible to the finance leadership team.
Perform other duties and special projects as assigned.

Knowledge, Skills & Abilities

Strong organizational, coordination, and follow-up skills with excellent attention to detail.
Effective written and verbal communication skills.
Ability to manage multiple tasks and deadlines in a fast-paced environment.
Strong interpersonal skills and the ability to work collaboratively with internal and external stakeholders.
Proficient level of computer software programs specifically, Microsoft Office Suite (Word, Excel, Access, HMIS, Power Point and Outlook) and project tracking tools.
Commitment to equity, inclusion, and serving vulnerable populations.

Training & Experience

Bachelor’s degree from an accredited college or university in public administration, Social Work, Political Science, or a related field preferred; equivalent experience accepted.
Two-three (2-3) years of experience providing administrative, program, or project support in government, nonprofit, or public policy settings.
For applicants applying to work within the CPO line, must have two-three (2-3) years of experience providing program support specifically in service of homeless service programs.
For applicants applying to work within the CFO line, applicant must have two -three (2-3) years of experience in one of the following financial areas: accounting, budget, funding allocations, grant management, or financial compliance within the homeless services sector.
Experience supporting senior leaders or managing multiple priorities preferred.
Any combination of extensive and applicable work experience and educational credentials to perform the above duties successfully.

Schedule: The Chief Financial Officer or designee may change the schedule of positions between hybrid (2 days weekly) and onsite, as necessary to accomplish LAHSA's business needs.

Residency Requirement: This position requires the employee to reside within the State of California. Proof of residency may be requested as part of the onboarding process to ensure compliance with organizational and operational requirements.

VSP Vision Plan
LAHSA offers this voluntary comprehensive vision plan to all full-time employees through ADP Workforce. It includes yearly comprehensive exams, lenses, frames and contact lenses. All premiums are pre-taxed and paid 100% by the employee through automatic bi-monthly payroll deductions.

AFLAC Supplemental Insurance
LAHSA offers this voluntary supplemental insurance to all full-time employees. Plan options include personal accident, personal cancer indemnity, personal short-term disability, and personal life insurance plans. Most premiums are pre taxed and paid 100% by the employee through automatic bi-monthly payroll deductions.

ADP Flexible Spending Accounts
LAHSA offers employees this voluntary flexible spending account plan through ADP Workforce. Employees may elect to participate in dependent care or health care expense accounts. All premiums are pre-taxed and paid 100% by the employee through automatic bimonthly payroll deductions.

Life Insurance
LAHSA pays 100% of the premium for $50,000 basic life insurance coverage through ADP.

Voluntary Group Life Insurance
LAHSA offers employees this voluntary group life insurance through Lincoln Financial. Employees may elect to participate in dependent care or health care expense accounts. All premiums are pre-taxed and paid 100% by the employee through automatic bimonthly payroll deductions.

Long Term Disability
LAHSA pays 100% of the premium for long term disability coverage through ADP.

Public Service Loan Forgiveness (PSLF) Program Eligibility
LAHSA is considered a government employer for the PSLF Program.

Pension Plan
LAHSA provides a 401A pension plan through Lincoln Financial. After 6 months of employment, employees are eligible for contributions of 6% of the employee’s salary with a qualification date of 500 hours or 6 months after the date of hire.

Deferred Compensation Plan
LAHSA provides a 457 Deferred Compensation plan through Lincoln Financial. Employees may elect to defer up to IRS maximum limit per year of their earned salary for income tax purposes.

Time Off Administrative Leave
Chief Executive Officer, chiefs, and directors receive five (5) days of admin leave each calendar year in addition to the time-off below.

Vacation
Vacation is earned according to each month of service commencing with the employee’s initial date of hire.

Less than three (3) years of employment, eighty (80) hours per year.
Three (3) to six (6) years of employment, one hundred twenty (120) hours per year.
More than six (6) years of employment, the one hundred twenty (120) hour total shall be supplemented by one (1) workday of paid leave for each twelve (12) months greater than seventy-two (72) months of employment. This vacation accrual is capped at thirty (30) workdays per year

Maximum accrual of vacation leave is 240 hours.

Sick Leave
Full-time employees accrue sick leave at a rate of 12 days per year. Maximum accrual of sick leave is 160 hours.
