Legal Technology & Operations Specialist

Overview

We are a fast-growing plaintiff-side law firm seeking a highly motivated Legal Technology & Operations Specialist to help optimize and scale the firm's technology, business systems, and operational workflows.

This is a high-impact role responsible for improving how our firm operates by leveraging technology, automation, reporting, artificial intelligence, and process improvement. You will work closely with firm leadership to identify operational challenges, implement innovative solutions, optimize software platforms, and improve efficiency across every department.

The ideal candidate is analytical, highly organized, technology-driven, and enjoys solving complex operational problems. This role is ideal for someone who thrives on learning new technologies, improving business processes, and finding smarter ways to help a growing organization operate more efficiently.

Key Responsibilities

· Build custom reports, dashboards, KPIs, and reporting tools to provide meaningful operational and management insights.

· Customize and maintain Filevine system configurations, including templates, fields, forms, reports and workflows.

· Design and maintain advanced Excel workbooks, financial models, dashboards, and reporting templates that support ongoing performance monitoring.

· Configure, maintain and optimize the firm's CRM, communication and other internal technology platforms.

· Design, implement, and maintain automations using Filevine, Microsoft 365, AI tools, APIs, Power Automate, Zapier, Make, or similar platforms.

· Monitor employee performance through KPIs and other quality assurance tools, including reviewing communications, dashboards, and other measurement tools to identify training needs and areas requiring management attention.

· Research, evaluate, test, and implement new software solutions, AI technologies, and business applications that improve firm productivity and client service.

· Develop and maintain standard operating procedures, technical documentation, and training materials for workflows, firm software and business systems.

· Troubleshoot software issues, coordinate with vendors, and serve as the primary point of contact for technology-related operational questions.

Qualifications

· Experience customizing and configuring Filevine, including fields, sections, forms, workflows, and automation tools.

· Expert proficiency with Microsoft Excel, Outlook, Microsoft 365, and other productivity applications.

· Experience configuring and administering RingCentral, Microsoft Teams, and other communication platforms.

· Experience administering CRM, case management, or other business software platforms.

· Strong analytical, troubleshooting, and problem-solving skills with the ability to develop practical technology solutions.

· Experience analyzing and improving business processes through technology and workflow optimization.

· Strong understanding of data management, reporting, and data integrity best practices.

· Experience with APIs, software integrations, webhooks, or workflow automation platforms is a plus.

· Experience with AI-assisted programming, prompt engineering, low-code/no-code platforms, or software development is a plus.

· Experience with SQL, Power BI, Tableau, or similar reporting and analytics tools is a plus.

· Strong project management and organizational skills with the ability to manage multiple initiatives simultaneously.

· Highly driven and resourceful, with a demonstrated ability to take initiative, manage multiple priorities, and deliver results with minimal supervision.

· Team-oriented with a solution-focused attitude that welcomes feedback and is committed to continuous learning and improvement.

Pay: $75,000.00 - $95,000.00 per year
