Full Job Description

Administrative & Accounting Assistant

BA Carts is seeking a dependable, organized, and detail-oriented Administrative & Accounting Assistant to support our day-to-day office operations.

This position combines administrative support, vehicle title processing, data entry and review, customer and vendor communication, and accounting-related responsibilities. The ideal candidate is comfortable managing multiple priorities, working with detailed information, and learning new systems and processes.

Primary Responsibilities

Process vehicle title paperwork accurately and in compliance with Ohio requirements
Coordinate title transfers, registration documentation, and related paperwork
Answer incoming phone calls and assist with general office communication
Perform accurate data entry across multiple business systems
Review documents, reports, and transactions for accuracy and completeness
Maintain organized electronic and physical records
Assist with general office functions and administrative support
Communicate with customers, vendors, financial institutions, and other outside contacts
Prepare spreadsheets, reports, and business documents
Assist with payroll processing
Support accounts payable and accounts receivable functions
Record and reconcile bank deposits
Assist with payment processor and e-commerce transaction reconciliation
Assist with online sales and inventory-related accounting records
Perform account reconciliations and support month-end processes
Maintain supporting documentation for accounting transactions
Obtain and maintain an Ohio Notary Public commission, or currently hold an active commission
Notarize documents as required
Assist with special projects and ongoing improvements to office and business processes

Qualifications

Previous administrative, office, bookkeeping, accounting support, dealership, or similar experience preferred
Strong organizational and time-management skills
Exceptional attention to detail and accuracy
Comfortable working with numbers and financial information
Experience with data entry and document review
Strong computer skills and ability to learn new software
Proficiency with Microsoft Excel, Microsoft 365, and Google Sheets
Experience with QuickBooks preferred
Experience with accounts payable, accounts receivable, payroll, or reconciliations is a plus
Experience processing vehicle titles preferred
Current Ohio Notary Public commission preferred, or willingness to obtain one after hire
Professional written and verbal communication skills
Ability to manage multiple priorities in a fast-paced environment
Strong problem-solving skills and ability to recognize discrepancies
Dependable, self-motivated, and able to work both independently and as part of a team
