Full Job Description

Shultz Huber & Associates, Certified Public Accountants, is seeking a full time Administrative Assistant to become a vital member of our team.

If you are an Administrative Assistant with 2+ years of experience, then please read on….

Our Administrative Assistant is primarily responsible for supporting accounting operations through client management and client service, administrative support for our Accountants, general office operations, assisting with payroll tasks, and assisting with tax return processing during tax time. This role will be responsible for the following activities, including but not limited to:

General Office Operations

Client relationship management
Answer a high volume of phone calls and emails
Schedule appointments
Order office supplies
Maintain filing systems
Process mail and correspondence
Manage conference rooms and meetings
Prepare payroll documents
Process client paperwork
Assist with quarterly payroll tax filings
Manage bookkeeping records
Update client information
Maintain client databases
Support for other services
Help plan Firm activities

Administrative Support for Accountants

Manage calendars and appointments
Prepare e-signature packets
Gather signatures and authorization forms
Track deadlines
Make sure documents move through the Firm on time

Tax Return Assistance and Processing

Receive and organize tax documents (W-2s, 1099s, K-1s, brokerage statements, etc.)
Send tax organizers and engagement letters
Assemble completed tax returns
Send returns to clients electronically or by mail
Answer basic tax-process questions
Route tax returns through the firm's workflow system
Monitor return status from preparation to review to completion
