Job Overview

We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front office operations, serve as the first point of contact for visitors and clients, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive experience for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily operations with professionalism and enthusiasm.

Responsibilities

Greet visitors, clients, and vendors warmly, providing excellent customer service and ensuring a positive first impression
Answer multi-line phone systems promptly and professionally, directing calls efficiently to appropriate departments or personnel
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
Handle data entry tasks accurately, including maintaining spreadsheets, filing systems, and client records with attention to detail
Perform clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
Support office management tasks including supply inventory, filing, and basic bookkeeping using QuickBooks or similar software
Assist with phone communication protocols, maintaining proper phone etiquette and providing support for client inquiries

Requirements

Language Requirement: Applicants should be able to understand and communicate in Ukrainian or Russian well enough to assist a cleint. Perfect fluency is not required.
Proven office experience with strong organizational skills and proficiency in Microsoft Office (Word, Excel) and Google Workspace applications
Excellent computer literacy with the ability to perform data entry, word processing, and spreadsheet management efficiently
Prior experience in front desk or administrative roles, preferably within medical or dental office settings or as a personal assistant
Strong customer service skills with a friendly demeanor and effective phone communication abilities
Bilingual capabilities are highly desirable to serve diverse client needs effectively
Knowledge of multi-line phone systems, office management procedures, and clerical best practices
Ability to multitask in a fast-paced environment while maintaining accuracy and professionalism
Technical proficiency with office equipment such as printers, scanners, and basic bookkeeping tools like QuickBooks is preferred
