Full Job Description

Executive House Manager & Personal Assistant

Location: Vancouver, WA 98685

Employment Type: Part-time, 20-25 hours per week

Proposed Schedule: Monday through Friday, flexible within the hours of 8am-4pm. High flexibility needed to accommodate travel schedule.

Compensation: $32-$38 per hour / based on experience

Start Date: ASAP

Requirements

About Our Family

I lead a full and fast-moving lifestyle and am seeking a highly capable professional who finds fulfillment in creating calm, structure, and consistency within private home environment. I own and operate two companies and travel frequently—often up to 50% of the time—so having someone dependable who can thoughtfully manage the day-to-day details of my home is incredibly important. More than anything, I'm looking for someone who can help reduce the constant mental load that comes with balancing a demanding professional life while ensuring my home continues to run smoothly, efficiently, and with care behind the scenes.

I'm currently in an “empty nest” season of life, although two of my three adult children live nearby and remain a very important part of my day-to-day life. Family time is something I deeply value and often includes golf outings, farmers market trips, shopping, and relaxed time together whenever schedules allow. I also have a sweet cotton de tulear dog who can be a bit anxious at times, and while dedicated pet care is not a primary responsibility of the role, it's important that the right person genuinely enjoys dogs and feels comfortable around pets.

Because my schedule can change quickly and no two weeks ever look exactly the same, I greatly value a home environment that feels organized, peaceful, and well-managed. Discretion, reliability, professionalism, and proactive support are qualities that matter deeply to me, along with someone who naturally anticipates needs and brings a calm, solutions-oriented presence during especially busy or travel-heavy periods.

You are highly capable, self-directed professional who thrives in an environment requiring discretion, initiative, and minimal supervision. You have the ability to be organized, resourceful, and detail-oriented, with a natural ability to anticipate needs, problem-solve independently, and create systems that keep the household operating seamlessly whether the employer is home or traveling.

A grounded presence is essential, along with strong communication skills and the emotional maturity to receive direct feedback professionally. The right candidate understands the importance of professional boundaries, demonstrates discretion, values privacy, and operates with efficiency and independence, requiring minimal oversight or routine check-ins. You are also tech savvy with the ability to work efficiently in apps and systems, experience in Notion a plus

At the same time, being proactive and confident taking ownership and thinking several steps ahead to help minimize daily overwhelm while creating a sense of ease is essential..

Key Responsibilities

Household Organization & Maintenance

Create and maintain home organization systems throughout the house
Daily resets including tidying counters, loading/unloading dishes, vacuuming high-traffic areas, and ensuring dog water is full
Seasonal swaps for rugs, décor, and clothing
Coordinate and drop off donations
Assist with holiday décor organization
Unpacking coordination upon return from travel
Support weekly recycling/garbage days bringing trash cans out and in
Replace batteries, light bulbs, and maintain smoke detectors
Indoor plant care

Inventory & Errands

Restock pantry, fridge, and household supplies (toilet paper, paper towels, hand soaps)
Maintain running household supply lists
Manage household orders and subscriptions (Amazon Subscribe and Save, coordinating deliveries around travel schedule)
Handle returns, dry cleaning pickup and drop-off, and gift shopping
Manage mail and package handling
Break down boxes regularly

Meal Support

Maintain fresh food availability in the fridge for easy meal preparation
Unload groceries and wash fruits and vegetables for grab-and-go access
Kitchen clean-up and maintenance

Laundry & Linens

Wash, fold, organize, and put away all laundry, including towels and bed linens
Maintain tidy and well-stocked laundry areas

Vehicle Upkeep

Coordinate family vehicle washes as needed, especially during travel periods

Deep Cleaning & Special Projects

Occasional deep cleaning (fridge, oven, baseboards)
Refresh garage, mudroom, and entry areas
Air filter cleaning
Ongoing organizational projects as needed

Vendor & Property Oversight

Oversee cleaners, contractors, and landscapers
Research and coordinate home repairs and quotes, serving as eyes and ears for maintenance needs
Coordinate with lawn and yard service provider for pruning and seasonal needs
Support vendor management for second home in Montana

Administrative & Personal Assistant Support

Schedule personal appointments (doctors, dentists, nails, hair, massage)
Manage reentry logistics by staying aware of travel schedule
Birthday and gifting reminders to ensure cards are sent and gifts are purchased
Coordinate pet grooming appointments ideally during travel periods
