Job Overview

Job Title: Administrative Assistant (QuickBooks Proficient)

Position Summary Seeking a detail-oriented Administrative Assistant to support office operations with a focus on accounts payable (A/P), accounts receivable (A/R), payroll, and creating and maintaining fleet reports.

Key Responsibilities

Process A/P: enter invoices, verify approvals, schedule and issue payments, reconcile vendor statements.
Manage A/R: generate and send invoices, post payments, follow up on overdue accounts, reconcile receivables.
Run payroll: prepare payroll data, process payroll on schedule, calculate deductions, submit payroll taxes, maintain payroll records.
Maintain accurate QuickBooks files: enter transactions and produce basic financial reports.
General administrative support: manage email correspondence, coordinate office supplies, file and maintain records. Including personnel and vehicle files.
Assist with month-end close, support audits, and prepare documentation for accountants as needed.
Assist with Health and Safety Programs and software.
Communicate with vendors, customers, and staff professionally.

Required Qualifications

Proven experience in A/P, A/R, and payroll administration.
Proficient in QuickBooks (Desktop) — strong working knowledge required.
Solid understanding of basic accounting principles.
Strong attention to detail, organizational skills, and ability to prioritize.
Proficient with Excel and general office software.
Excellent verbal and written communication skills.
Ability to handle confidential information discreetly.

Compensation & Benefits

Salary: $40,000–$60,000 (DOE).
Benefits: health insurance, paid time off (PTO), 401(k) retirement plan.
