Full Job Description

The Center Success Coordinator provides afternoon operational support to ensure the center runs efficiently during the end of the day. This role focuses on improving Behavior Therapist productivity, supporting payroll accuracy, ensuring timely clinical documentation, maintaining center organization, and assisting with end-of-day operations.

This position serves as an operational resource for the center after the Center Manager has departed. The Center Success Coordinator supports the success of the entire center and is not intended to function as a personal administrative assistant for any individual leader.

Schedule: In Center; Monday - Friday 1:30 PM - 5:30 PM (20 hours/week)

Duties and responsibilities

End-of-Day Operations

Serve as the primary operational support person after the Center Manager and Operations Coordinator have left for the day.
Ensure the center is organized, clean, and ready for the next business day.
Complete the daily closing checklist.
Secure the center at the end of the day, including lights, HVAC, doors, alarms, and final walkthroughs.

BT Productivity Support

Support Dream Big's goal of maintaining 88% or greater BT productivity by:
Monitoring BTs whose sessions have ended.
Ensuring BTs complete required work promptly before clocking out.
Ensuring employees clock out once all work responsibilities are complete.
Helping reduce unnecessary non-billable time.

Clinical Documentation Support

Monitor session note completion throughout the afternoon.
Remind BTs to complete session notes before leaving the center.
Notify clinical leadership of outstanding documentation when needed.
Assist in reducing overdue documentation.

Parent Sign-Out Support

Greet parents and ensure they properly sign their child out each afternoon at pickup.
Verify required signatures are completed.
Follow up with staff when signatures are missing.
Assist with maintaining accurate attendance documentation.
Identify any parents who are late for pick up and connect with BC and BCBA for parents to arrive on time.

Payroll & Paycom Support Daily

Assist the Center Manager with end-of-day payroll accuracy by:
Reviewing employee punches in the payroll system.
Identifying missed punches, meal periods, or punch discrepancies.
Following up with employees regarding corrections.
Supporting payroll compliance.
Assisting with reducing payroll penalties.
Identifying who is clocked in at a given time and reviewing the billable/payroll dashboard.

Administrative Support

Support completion of operational tasks including:
Preparing materials for the following day.
Assisting with operational tasks assigned by leadership that support overall center operations.

Center Standards

Help maintain Dream Big cleanliness standards.
Ensure that DB clean procedures are followed including groups using 5 minute transition periods for cleaning properly
Restock supplies as needed.
Assist with keeping common areas organized.
Help ensure session areas are reset for the following day.

Qualifications

Strong organizational skills.
High attention to detail.
Ability to prioritize multiple tasks.
Excellent communication skills.
Comfortable using computers and learning software systems.
Ability to work independently.
Positive attitude and willingness to support multiple departments.
Experience working in ABA or healthcare preferred.
Experience with Paycom or similar payroll systems preferred.
Administrative or operations experience preferred.
