Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

Serve as the front desk ambassador by greeting visitors, managing multi-line phone systems, and providing outstanding customer support with professional phone etiquette.
Handle data entry, filing, and document proofreading to maintain accurate records and ensure information integrity.
Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools.
Perform office management duties including supply inventory, organization of files, and maintaining a clean and efficient workspace.
Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
Support medical or dental reception duties as needed, including patient check-in, appointment scheduling, and insurance verification.
Provide personal assistant support such as calendar management, travel arrangements, and task prioritization to executives or team members.

Requirements

Proven experience in office administration or clerical roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Excellent typing speed and data entry skills with attention to detail.
Familiarity with multi-line phone systems, phone etiquette, and customer service best practices.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Experience with QuickBooks or bookkeeping is a plus; familiarity with medical or dental receptionist duties is advantageous.
Strong organizational skills with the ability to manage multiple priorities efficiently while demonstrating excellent time management.
Office experience that includes filing, proofreading, calendar management, and general administrative support.
