Job Summary
The HR/Office Coordinator provides administrative and operational support across Human Resources, office operations, and IT vendor coordination. This position serves as the primary coordinator for employee lifecycle administration, benefits support, HR systems, office management, and day-to-day operational activities while partnering with internal departments and external vendors. The ideal candidate is highly organized, detail-oriented, exercises sound judgment, maintains confidentiality, and effectively manages multiple priorities in a fast-paced environment.
Essential Job Functions:
Human Resources Coordination
- Process employee onboarding, offboarding, and employee changes in HR systems while ensuring all onboarding/offboarding checklists are completed and documented.
- Support recruitment activities, including interview coordination, and candidate scheduling.
- Monitor and reconcile HR and benefit vendor invoices, researching and resolving discrepancies as needed.
- Administer Certificates of Insurance (COIs) and patent distribution requests.
- Support HR compliance by maintaining personnel records, assisting with audits, maintaining state registrations and licenses, and ensuring accurate recordkeeping.
- Maintain the integrity and confidentiality of employee records and sensitive HR information.
- Provide ongoing administrative support to the HR Director and CFO.
Office Administration
- Maintain a clean, organized, and professional office environment, including breakroom and restroom supplies.
- Coordinate building maintenance requests and facility-related issues with building management.
- Manage incoming and outgoing mail, FedEx, UPS shipments, and package distribution.
- Schedule and coordinate logistics for Board of Directors meetings, Leadership Team meetings, All Hands meetings, and other company meetings.
- Coordinate company events, employee celebrations, and monthly birthday/work anniversary recognition.
- Manage Grasshopper phone administration, key fobs, and company signing authority records.
IT & Systems Coordination
- Coordinate with the company's IT vendor regarding employee onboarding and offboarding, laptop deployment, equipment repairs, and technology replacements.
- Maintain company equipment inventories, software licensing records, and user access administration.
- Assist with maintaining organized company documentation within Dropbox and other shared systems.
Operational Support
- Maintain HR process documentation and recommend process improvements.
- Support continuous improvement initiatives involving HR administration, office operations, and company processes.
- Assist with maintaining organizational documentation, shared resources, and recurring administrative materials.
- Perform other duties as assigned.

Education and Experience:
- High School Diploma or equivalent required.
- Minimum of 2 years of HR administrative or coordinator experience required.
- 1 - 2 years of office administration experience preferred.
- Experience supporting benefits administration, vendor coordination, and HRIS platforms preferred.
- Advanced proficiency in Microsoft Office applications, including Outlook, Excel, Teams, and Word.
- Certified Notary Public is a plus!
Physical Requirements:
- Ability to sit for extended periods and work at a computer.
- Ability to move, lift, transport office supplies, equipment, and event materials up to 30 pounds.
- Ability to travel locally using a personal vehicle for company errands, meetings, or event preparation as needed.
