Full Job Description

Administrative Assistant / Front Desk

We are a growing pediatric orthotics clinic dedicated to helping children move, play, and thrive. We are looking for a friendly, outgoing, and dependable Administrative Assistant / Front Desk Team Member to help keep our clinic organized and create a welcoming experience for the children and families we serve.

This is a great fit for someone who is organized, detail-oriented, takes initiative, enjoys working with people, and is willing to learn as our clinic continues to grow.

Job Responsibilities

Greet patients and families and create a friendly, welcoming clinic environment
Schedule and confirm patient appointments
Answer and manage phone calls, emails, and messages
Communicate professionally with parents, therapists, physician offices, and other providers
Coordinate referrals and patient intake paperwork
Maintain accurate and organized patient records
Assist with obtaining necessary documentation from referring providers
Process payments from families using clinic payment software
Maintain organized records of company expenses and receipts
Track clinic inventory and order supplies as needed
Package and mail shipments
Keep the front desk, waiting area, and common clinic spaces organized
Assist clinicians with day-to-day administrative needs
Support and coordinate clinic marketing initiatives
Complete general office and administrative tasks as needed
Take initiative to identify tasks that need to be completed and help keep clinic operations running smoothly

Qualifications (Required):

Friendly, outgoing, and comfortable interacting with children and families
Strong attention to detail and organizational skills
Dependable and able to consistently arrive on time
Ability to take initiative and work independently
Willingness to learn new systems and processes
Clear, professional written and verbal communication skills
Comfortable communicating by phone, email, and in person
Basic computer proficiency and ability to learn clinic software
Ability to multitask and stay organized in a busy clinic environment
Previous administrative, receptionist, front desk, or customer service experience
Experience in a medical or pediatric office
Familiarity with EHR or scheduling systems

Preferred, but not required:

A healthcare administration degree is not required. We value reliability, personality, initiative, organization, and willingness to learn more than formal education.

Schedule & Work Environment

Full-time position
Monday–Friday: 9:00 AM–5:30 PM
No evenings or weekends
In-person position at our pediatric orthotics clinic
Small, supportive and family-friendly team environment

Compensation Training Period

The position begins with a 2-week paid training and onboarding period at approximately 10–15 hours per week. Training will include clinic systems, scheduling, patient intake, referral processes, communication expectations, and daily administrative workflows.

Full-Time Position

Following successful completion of training:

$16–$18 per hour, based on experience
Approximately 36–40 hours per week
