The Front Desk Coverage Hybrid Specialist is a hybrid professional who brings the executive presence and interpersonal excellence to serve as the primary face of one of the Federal government's most critical national security program offices, while also delivering substantive analytical, research, and administrative support to the broader efforts of the Front Office team.
Hours of Operations:
- Monday – Friday | 8:00 AM – 5:30 PM (EST)
- Surge support outside standard hours may be required with advanced CO approval
On-Site Requirement:
- 100% On-Site — Washington, DC; no remote or hybrid arrangements available for this position
Key Responsibilities:
- Maintain a consistent, professional, and uninterrupted presence at C-Suite Front Desk from 8:00 AM to 5:30 PM on all non-holiday Government workdays
- Answer and accurately route all incoming telephone calls for the Front Office, directing communications to the correct Federal staff members in accordance with established protocols
- Greet, authenticate, and escort all visitors, guests, contractors, and dignitaries with professionalism and in strict compliance with all visitor policies and access requirements
- Maintain and update the visitor management system with real-time accuracy, ensuring all visitor entries, status updates, and record closures are completed the same day
- Coordinate with the all stakeholders for all meetings involving foreign nationals or the use of classified and secured meeting spaces — following all established security reservation procedures without exception
- Brief leadership on the context, purpose, and background of requested meetings prior to each engagement, ensuring leadership is never caught off guard
- Maintain a clean, organized, and professionally presented front desk environment consistent with the standards of a Senior Executive Service (SES)-level Federal program office
- Serve as the backup front desk resource during periods of surge or team absence, ensuring continuous coverage is never interrupted
Analytical and Research Support — Your Differentiating Function:

- Conduct independent research on topics assigned by the Sr. Administrator, Executive Operations Specialist, or Federal staff ; compile findings into structured, professionally formatted summaries ready for leadership use
- Consolidate, format, and distribute meeting notes and action item summaries within 24 hours of meeting completion or as coordinated with the customer
- Perform data entry, data tracking, and basic quantitative and qualitative analysis using Microsoft Excel, including the development and maintenance of tracking spreadsheets, administrative databases, and summary tables
- Prepare draft Word documents, PowerPoint presentations, and Excel-based reports for Federal staff review, consistent with formatting standards and the Correspondence Style Guide
- Support the preparation and assembly of briefing books and meeting packages as directed by the Administrative Assistant V or Executive Operations Specialist ensuring all materials are organized, formatted, and ready prior to meeting start times
- Assist in the preparation of meeting agendas, handouts, and logistical resource documents for on-site and off-site events as directed
- Provide structured analytical and administrative surge support to the Administrative Assistant V and Executive Operations Specialist during peak periods absorbing overflow tasks without compromising front desk coverage obligations
Meeting and Event Coordination Support:
- Reserve and prepare meeting spaces, both open and classified as directed by the Administrative Assistant V or Executive Operations Specialist
- Coordinate room setup, seating arrangements, and audio-visual equipment for scheduled meetings and briefings
- Prepare and distribute meeting materials and handouts to participants prior to meeting start
- Take attendance at meetings as necessary and maintain accurate participant records
- Follow up on meeting logistics to ensure all coordination is confirmed at least 24 hours prior to each scheduled event
Compliance and Information Security:
Handle all correspondence, documents, and materials containing Controlled Unclassified Information (CUI), Official Use Only (OUO), Confidential, or Personally Identifiable Information (PII) with strict discretion and in full accordance with all applicable DOE security protocols and the Privacy Act of 1974
- Maintain strict confidentiality of all non-public Government information encountered in the performance of this role
- Ensure all front desk activities, visitor coordination, and information handling comply with DOE information security program regulations and applicable Departmental directives
- Complete all required NARA-approved records management and CUI training prior to handling Federal records
- Maintain accurate records of all front desk activities including visitor logs, meeting attendance records, and communication routing documentation
- Develop and maintain indexed decision logs for all assigned front desk and administrative support actions — ensuring logs are current, legible, and organized to facilitate research on past actions
Education
- Hich School Diploma or equivalent
- Minimum five (5) years of direct, on-site professional experience working within Federal government agency buildings as a Federal employee or Federal contractor
- Minimum three (3) years of direct, daily support to confirmed Senior Executive Service (SES)-level officials, or equivalent Federal civilian or military leadership at the GS-15 level or above in an executive front office environment
- Hands-on experience as a travel preparer or travel coordinator using at least one Federal travel management system including any of the following: Defense Travel System (DTS), E2 Solutions, NASA Travel System (NTS), or Concur Government Edition (CGE)
- Minimum three (3) years of documented, on-site experience working within a PIV-access-controlled Federal government building
- Prior documented experience coordinating visitor access, meeting reservations, or operations within classified, SCIF, or equivalent secure meeting spaces within a Federal agency environment
Technical Skills (Mandatory):
- Advanced proficiency in the full Microsoft Office Suite — specifically:
- Excel: Formulas, conditional formatting, data validation, and tracking workbook development
- PowerPoint: Slide design, branded formatting, and executive-quality presentation development
- Word: Styles, templates, tracked changes, and Federal correspondence formatting
- Outlook: Calendar coordination, meeting scheduling, and professional email management
- Experience with SharePoint or equivalent Federal document management and collaboration platforms for records management and version control
- Familiarity with Federal document management systems and knowledge management platforms
Preferred Qualifications:
- Prior experience working in Washington, DC, with working knowledge of visitor management systems, mail room procedures, and security and access protocols
- Demonstrated experience supporting them with familiarity with correspondence protocols, the Correspondence Style Guide, and program office operations
- Prior experience coordinating meetings involving foreign nationals within a federal agency security framework, including coordination with agency security officers for foreign national visit approval and escort procedures
- Working knowledge of Office Services procedures for meeting room reservations, space requests, and equipment coordination at the Forrestal Building
- Demonstrated experience with Concur Government Edition (CGE) for Federal travel booking and expense management support
- Completion of formal Federal records management training or NARA-approved records management and CUI handling courses
- Prior experience with the DOE Electronic Document Online Control System (eDOCS) or equivalent Federal document management platform
- Experience providing executive briefing support including structured research summaries, talking points preparation, and formatted meeting package assembly for senior Federal leadership
