Job Summary

The Payroll Administration position is responsible for providing accurate, timely, and compliant human resources and payroll administration. This role supports the full employee lifecycle, ensures payroll is processed correctly, maintains employee records, and assists with HR policies, compliance, and employee queries. This position will be working within multiple companies to process payroll and facilitate employee management duties across the group, while working from the Main Office. This role will be managing from 125-150 employees, processing payroll, onboarding, offboarding, benefits and all things in-between. This position is not a supervisor position.

Compensation and Benefits

· Competitive Pay $28 to $30 per hour (40-hour week)

· Health Insurance- 1st of the month following 60 days of employment

· Sick Leave and Vacation Pay

· 401(k)- Eligible after 6 months of employment, must be 21 Yrs. of age.

Key Roles and Responsibilities

1. Payroll Administration

· Process payroll accurately and on time (semi-monthly).

· Calculate salaries, hourly & overtime & bonuses along with other varied forms of pay.

· Administer payroll in an accurate and timely manner on a semi-monthly basis, ensuring all processes adhere to established protocols.

· Ensure compliance with tax, statutory, and regulatory requirements.

· Prepare, submit and post payroll to accounting.

· Manage payroll changes including new hires, terminations, promotions, and salary adjustments.

· Resolve payroll discrepancies and respond to payroll-related queries.

· Liaise with payroll providers, tax authorities, and accounting teams as required.

2. HR Administration Assistant

· Maintain accurate and up-to-date employee records and HR systems.

· Administer onboarding and offboarding processes (contracts, documentation, system access).

· Prepare employment contracts, letters, and HR documentation.

· Track employee attendance, leave, sick days, and absences.

· Support performance review cycles and HR initiatives.

· Ensure HR data confidentiality and compliance with data protection regulations.

3. Employee Benefits & Compensation Support

· Administer employee benefits (health insurance, 401(k), etc.).

-Making sure employees enroll or waiver the benefits offered to them within the time frame required.

· Act as a point of contact for employee benefit queries.

· Support compensation reviews and salary benchmarking when required.

4. Compliance & Policy Support

· Ensure HR and payroll processes comply with labor laws and company policies.

· Support audits by preparing HR and payroll documentation.

· Assist in updating HR policies and procedures.

· Monitor changes in employment and payroll legislation.

5. Employee Support & Communication

· Serve as a first point of contact for HR and payroll-related inquiries.

· Provide guidance to employees on policies, procedures, and benefits.

· Support employee relations by escalating issues appropriately.

6. Reporting & Data Management

· Prepare HR and payroll reports for management.

· Analyze payroll and HR data to identify trends and discrepancies.

· Support budgeting and workforce planning activities.

-This includes communications with employees regarding upcoming events, benefits meetings, company news, etc.

Required Qualifications & Experience

· Diploma or bachelor’s degree in human resources, Business Administration, Accounting, or experience in related field. A degree is not required but must be replaced with more than 2 years of experience in a similar position.

· Proven experience in employee administration and payroll processing.

· Strong knowledge of labor laws, payroll regulations, and statutory requirements.

· Experience with HRIS and payroll software.

Preferred Qualifications (Optional)

· HR or Payroll certification (e.g., CIPD, SHRM, CPP, or local equivalent)

· Experience in related industry/Payroll expertise

· Experience in a fast-paced or growing organization

Working Conditions

· Full-time / Monday through Friday 8-5pm

· Office-based position

· Sitting 90% of the time

· Working in an office environment with multiple co-workers
