Fitness and Membership Coordinator

QUALIFICATIONS

Required: Associate degree.
Required: Minimum two years of experience in office management, membership services, customer service or operations support within in a fitness, wellness, recreation or related setting.Required: Strong written and verbal communication, interpersonal, organizational and problem-solving skills.
Required: Ability to work independently, prioritize multiple tasks and maintain accuracy in a fast-paced environment
Required: Proficiency with Microsoft Office Suite, health club management software, database systems and related technology platforms. Required: Experience with accounting and financial administration, including transaction processing, payment reconciliation, deposits, revenue tracking, and maintaining accurate financial records.
Preferred: CPR Certification including Automated External Defibrillation (AED).
Preferred: Experience working with Twin Oaks Software.

JOB SUMMARY

The Fitness and Membership Coordinator is responsible for overseeing daily membership operations, front desk services, administrative functions and member support to ensure a high level of service and operational efficiency.

This position serves as the primary administrator of the Twin Oaks membership management system, ensuring the accuracy and integrity of membership records, billing, financial transactions, and database information. This role also provides day-to-day direction and support to front desk staff, assists with staff scheduling and training, and helps maintain consistent procedures that strengthen operational effectiveness and enhance the overall member experience.

ESSENTIAL FUNCTIONS

Oversees daily membership services, front desk operations, and administrative processes to support efficient, professional, and member-focused operations.
Manages membership activities including enrollment, renewals, cancellations, account updates, registrations, and maintenance of member records.
Manages and maintains the membership database system to ensure accurate data entry, reporting, billing information and system integrity.
Processes and reconciles membership transactions including payments, refunds, adjustments, and deposits while maintaining accurate revenue records.
Supports financial administration through billing processes, account reconciliation, revenue tracking, reporting, and adherence to established fiscal procedures.
Delivers exceptional customer service by assisting members and guests, responding to member inquiries, resolving concerns, and fostering a positive member experience.
Prepares and maintains membership, operational, utilization, and financial reports to support decision-making and program planning.

PHYSICAL DEMANDS

Job includes sitting/working at a desk, using phone, reaching and bending below and above the shoulders, forward reaching and twisting to access file drawers and shelves for documents and binders.
Job involves frequent standing and walking, and fine and gross manipulation as related to these activities.
Job may occasionally require pushing, pulling, carrying and/or lifting up to 20 pounds. Requires the ability to handle fitness center weights and equipment as well as demonstrate exercises.
Fine manipulation is required for writing, typing, calculator and computer usage.

COGNITIVE DEMANDS

Job requires the application of previously acquired knowledge, independent problem identification and problem solving. Job requires flexibility of thought, abstract reasoning, and organizational skills in quick decision making situations. Selective attention and concentration are necessary.
Job requires legibility, spelling accuracy and logical sentence and paragraph organization and attention to detail. A working knowledge and familiarity with professional (medical) terms and definitions is required.
Job requires spontaneous communication, and paraphrasing in and out of the context of discussion.
Job requires an ability to comprehend lengthy and complex messages or paragraphs and to follow multistage directions.
Job requires ability to add, subtract, multiply and divide by tens and hundreds by two, three, four and five. Compute rate and percent and perform basic arithmetic operations with coins and bills in the role of cashier and handling cash, check and credit cards.

WORK DEMANDS

This position requires working under a variety of conditions inside that include moderate noise and frequent interruptions. The ability to work independently as well as with others is essential. Occasional flexibility in schedule changes may be needed to accommodate fluctuation in business needs. This position requires the ability to multi-task and meet constant and often times multiple deadlines. This position requires a large amount of flexibility and problem solving. There may be a need to respond to water, medical, or behavioral emergency situations.
