Full Job Description

Job Summary

We are seeking a dynamic and experienced Catering Event Coordinator to lead the planning, coordination, and execution of exceptional catering events. This role requires a passionate professional with a strong background in catering and event management, who thrives in fast-paced environments and excels at delivering outstanding guest experiences. As a key point of contact for clients, you will ensure seamless communication, meticulous planning, and flawless execution of each event, all while managing budgets, contracts, and team collaboration to exceed expectations. If you possess excellent organizational skills, a proactive attitude, and a love for hospitality, this is your opportunity to shine in a vibrant team dedicated to creating memorable occasions.

Duties

Collaborate with clients to understand their vision and requirements for each catering event, providing expert guidance on menu options, layouts, and service styles.
Negotiate contracts with clients and vendors to secure favorable terms while upselling additional services or menu enhancements to maximize revenue.
Develop detailed event plans including timelines, staffing schedules, equipment needs, and setup logistics using event management software.
Manage all aspects of event budgets by tracking expenses, controlling costs, and ensuring profitability without compromising quality.
Coordinate with culinary teams, servers, bartenders, and other staff to ensure smooth service delivery and guest satisfaction throughout the event.
Utilize CRM (Customer Relationship Management) systems to maintain client records, follow up on inquiries, and foster ongoing relationships for future business opportunities.
Oversee marketing efforts related to events by promoting services through social media channels, email campaigns, and local networking to attract new clients.
Ensure compliance with health & safety standards and hospitality industry regulations while maintaining high standards of guest services.
Lead team members by providing clear direction, fostering teamwork, and managing performance to uphold service excellence.
Conduct post-event evaluations to gather feedback for continuous improvement and implement best practices for upcoming events.

Experience

Proven experience in catering or hospitality event planning with a strong track record of managing successful events from start to finish.
Demonstrated ability in negotiation, upselling techniques, and contract management within the hospitality or catering industry.
Proficiency in Microsoft Office suite (Word, Excel, Outlook) along with experience using event management software and CRM systems.
Strong organizational skills with the ability to manage multiple projects simultaneously while adhering to deadlines.
Excellent communication skills—both verbal and written—to liaise effectively with clients, vendors, and team members.
Experience managing event budgets and controlling costs without sacrificing quality or guest experience.
Knowledge of banquet operations, guest services standards, and catering logistics is highly desirable.
Hospitality industry experience that includes customer service excellence and team leadership capabilities is preferred.
