About Coteau Prairie Homes

Coteau Prairie Homes is a modular and manufactured home dealer and general contractor focused on delivering high-quality homes and a smooth, transparent experience for customers from first inquiry through move-in. We combines hands-on construction with modern software tools and systems to keep projects organized and communication clear.

Future Office Location:

We are currently located in Watertown at the listed address, with short term plans to move to our new location, 17 miles south of Watertown of the Brandt Exit, located at 46930 188th St, Brandt, SD 57218. This will make for a convenient commute from both Brookings and Watertown.

Position Overview

Coteau Prairie Homes is seeking a detail-oriented Administrative Assistant to support daily office operations and help keep sales, construction, and service processes moving efficiently. This role is well suited for someone who enjoys organization, communication, document management, and helping a growing business develop to run more smoothly. In this position, you will help develop workflows, systems, and processes that Coteau Prairie Homes will rely on for years to come to enhance communication, efficiency, and quality both internally and externally. We're looking for someone not just to do the same day to day of an existing system, but instead embrace building it with us.

Responsibilities

· Serve as the first point of contact for incoming calls, emails, website inquiries, and walk-in customers; route messages and schedule follow-ups.

· Manage calendars for appointments, project meetings, site visits, and internal deadlines.

· Organize and maintain digital and physical files for customer records, project documents, permits, contracts, invoices, and service requests.

· Assist with customer paperwork, data entry, CRM updates, purchase documentation, change orders, and other administrative records.

· Support construction projects by tracking status updates, inspection dates, and project notes.

· Coordinate with vendors, lenders, manufacturers, subcontractors, and internal team members to gather documents and follow up on outstanding items.

· Help track invoices, receipts, and payment-related paperwork for internal review and processing.

· Perform general office support tasks such as ordering supplies, handling mail, scanning, printing, filing, and assisting with special projects.

· Assist in marketing tasks, including social media posts, media creation & organization, articles, and more.

· Assist in making these organizational items and processes more streamlined, sensible, and efficient.

· Other duties as assigned. We are a small team in a young business poised for growth at an up and coming high profile location. On top of this, we are in the housing industry when there’s an all time need for housing. We anticipate high demand. As a result, we’ll occasionally find ourselves having to step up to the plate with work that’s outside the norm for our roles. We’re looking for team players who are invested in this company and its future, and are willing to take those steps when needed.

Qualifications

· Two or more years of administrative, office support, or customer service experience preferred; construction, real estate, or homebuilding experience is a plus.

· Strong organizational skills and close attention to detail.

· Clear written and verbal communication skills, with comfort interacting with customers, vendors, and team members.

· Tech savvy. Proficiency with common office software such as Google Workspace or Microsoft Office, especially email, documents, and spreadsheets.

· Ability to learn new software systems quickly and work in a fast-paced small business environment where processes continue to evolve.

Pay: $20.00 - $25.00 per hour
