Administrative Assistant

Location: Polk County, Florida (In-Person)
Company: Compounding Cosmetics

About Us

Compounding Cosmetics is a cosmetic product development laboratory specializing in custom formulation for skincare, haircare, personal care, and wellness brands. We partner with entrepreneurs, healthcare professionals, and established companies to bring innovative products from concept to commercialization.

We're looking for an experienced, highly organized Administrative Assistant to support our Operations Coordinator and help ensure the smooth day-to-day operation of our growing laboratory.

Position Summary

This position is ideal for someone who thrives in a fast-paced environment, enjoys staying organized, and takes pride in keeping projects moving forward. The Administrative Assistant will serve as a key point of support for client onboarding, vendor management, purchasing, and administrative operations.

Responsibilities

Onboard new clients and guide them through our internal process.
Coordinate onboarding of new vendors and maintain vendor records.
Send and track Non-Disclosure Agreements (NDAs).
Follow up with prospective and existing clients by phone and email.
Monitor and respond to incoming emails in a professional and timely manner.
Order laboratory supplies, raw materials, packaging, and manufacturing ingredients.
Track purchase orders and monitor inventory levels.
Maintain organized digital files and documentation.
Coordinate with the Operations Coordinator to ensure projects stay on schedule.
Assist with administrative tasks and special projects as assigned.

Qualifications

Minimum of 2 years of administrative assistant, office administration, or customer service experience.
Excellent written and verbal communication skills.
Strong organizational and time management abilities.
High attention to detail with the ability to manage multiple priorities.
Proficient in Microsoft Office and Google Workspace.
Comfortable learning new software and systems.
Professional, dependable, and proactive.
Experience in manufacturing, laboratory, healthcare, or the beauty industry is a plus.

Compensation

Pay: $16.00 per hour
Part-time with the opportunity for additional hours as the company grows.
