Alliance Health Care is a comprehensive health care provider in Minnesota offering a diverse menu of services and supports to individuals with disabilities, persons with mental health diagnosis, and the aging community.

We are looking for a customer support minded “YES” person for our Reception Office Support position at our corporate office in Eagan. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively across departments. We are currently hiring a full-time Reception Office Support (ROS) staff at our Corporate Office located in Eagan, MN. This is a full-time position, Monday-Friday 8:00am-4:00pm. The ROS position is the first point of contact for all incoming reception calls company-wide, as well as walk-in traffic at the office. The ROS staff ensures all incoming callers and walk-in visitors are greeted, assisted, and directed to the appropriate person/department. The ROS also provides administrative and project support to all departments as needed or requested.

We are looking for someone with the ability to wear many hats, manage multiple tasks simultaneously, and be flexible with changing levels of responsibility and priority. You will love this position if you are highly organized, can go-with-the-flow, enjoy talking with people but can work very independently.

RESPONSIBILITIES:

· Answer, assist, transfer all incoming reception phone calls as needed

· Greet, assist, direct all walk-in visitors

· Ask follow-up questions to determine ability to assist caller/walk-in rather than transferring to another department

· Collect information from callers/walk-ins and provide requested information (i.e. emailing current pay schedule, emailing EVV timekeeping user guides, etc.)

· Monitor and process incoming/outgoing mail and faxes

· Meter/send bulk mail as requested

· Take any outgoing mail to the post office at the end of the day in the event a mail carrier did not come that day

· Scan, assign, and forward paperwork to the appropriate department. (ie. client intake paperwork to service departments, hiring paperwork to HR, orders to Medical Supply, etc.)

· Assist with various tasks around the office as needed while still monitoring the front desk for calls or walk-ins (i.e. prepping conference rooms and therapy rooms, restocking refreshment and breakroom areas, etc.)

· Assist with shredding/document destruction, thinning and archiving

· Monitor/restock refreshment and office supply items and request supply reorders as needed

· Assist Mental Health Department with maintaining client wait lists, Diagnostic Assessment call list/tracking, guardianship papers, insurance checks/updates, etc.

· Provide administrative and project support to all departments as requested

Other duties as assigned

QUALIFICATIONS:

Preference will be given to candidates with experience in one or more of the following areas (not all are required):

Reception
Office/Admin Support
Phone/Email/Customer Service
Document management
Health Care

Required:

Proficient with Microsoft Office applications (word, excel, outlook, etc.)
Highly and demonstratively organized
Self-managed and motivated to work with little supervision
Strongly skilled with computer use
Strongly skilled in multi-tasking and jumping back and forth between projects/tasks
Strongly skilled in written and verbal communication skills with attention to spelling, grammar, thoroughness, and professional expression
At least eighteen (18) years of age with a high school diploma or equivalent
Upbeat and engaging in communication style with a positive personality/team player attitude
Possess valid driver’s license and auto insurance
Able to pass Motor Vehicle Record Check
Able to Pass a DHS Background Check
