Full Job Description

Event Coordinator

Reports to: Clubhouse Manager, General Manager

Supervises: Service and Setup Staff

The Event Coordinator will be responsible with selling, planning and executing the banquet and event service functions of the club. Supervise banquet and event service personnel to assure member and guest satisfaction though proper food and beverage service and presentation. Irondequoit Country Club has recentyl completed a renovation of the clubhouse and its indoor/outdoor venue spaces exceeding $1.5 million. An exciting opportunity awaits the next Event Coordinator at ICC.

Specific Duties

Responsible for booking catered events at Irondequoit Country Club.
Responsible for Wedding events at Irondequoit Country Club.
Responsible for leading the charge on creating a robust package of programming for our members, their families, and guests.
Meet with clients and plan events in a detailed fashion.
Generate BEO’s in a timely fashion and distribute to appropriate departments.
Organize and maintain all booking contracts and deposits.
Maintain correspondence with clients before and after events.
Ensures that all appropriate charges are billed correctly to each event and forwarded to the accounting department for billing.
Meet weekly with Food and Beverage Team, leading BEO meetings, to review upcoming events.
Produce Weekly Event Summary and distribute accordingly.
Serves as a liaison between banquet service personnel and other staff members.
Leads pre-function meetings with servers to ensure smooth, efficient service; assigns server stations and coordinates the timing of courses.
Ensures that all banquet staff are well groomed and in proper uniform (including name tags).
Acts as Host manager at special, private functions and may greet and seat guests as necessary.
Regularly inspects all front and back of the house service areas and equipment to assure that sanitation, safety, energy management, preventative maintenance and other standards for the department are met.
Assumes Opening or Closing manager or manager on duty responsibilities when assigned.
Assures that banquet event closing procedures are followed.
Makes recommendations for the replacement and upgrading of banquet service equipment.
Performs general office tasks not limited to word processing to assist the General Manager and other department heads.
May take reservations for club outlets and events as necessary.
Attends meetings with the General Manager, Board of Governors, Executive Committee, Club staff and others.
All other duties and responsibilities as assigned by General Manger and Clubhouse Manager.

Education: Bachelor’s Degree in restaurant/hospitality management preferred, 2-3 years in similar position.

Physical Requirements: Walking, talking, standing, sitting, keyboarding, occasional lifting up to 25 pounds.
